Roofing Production Assistant (Clerical)

POSITION DESCRIPTION

The Roofing Production Assistant is a crucial member of the Residential Roofing team at Forefront Building + Restoration. This clerical role supports the documentation and progression of roofing projects, ensuring meticulous record-keeping and efficient process flow. The ideal candidate is detail-oriented, proficient in multitasking, and possesses a strong capability in data entry and document management.

KEY RESPONSIBILITIES (Roles/Accountability)

• Order permits and enter job specifications into the system from contracts.
• Collaborate with Accounts Receivable for invoicing and input bid costs into budget sheets.
• Schedule material drops and coordinate crews and field support.
• Track spending on the job and follow up with insurance for supplement approvals.
• Prepare closing and warranty documents.
• Maintain up-to-date roofing insurance, build relationships with supply and labor teams, and manage the fleet.

• Proficient in Google Suite and Salesforce.
• Exceptionally detail-oriented with a strong emphasis on accuracy and thoroughness.

QUALIFICATIONS AND EXPERIENCE

• Educational Background: High school diploma required; further education in administration, business, or a related field is a plus.
• Industry Experience: Experience in clerical roles, preferably within the construction, roofing, or restoration industries. Familiarity with the roofing process and documentation is advantageous.
• Technical Proficiency: Proficient with CRM platforms (Salesforce preferred) and Microsoft Office Suite. Familiarity with Xactimate is a bonus.
• Communication Skills: Demonstrated ability to communicate effectively, both verbally and in writing.

• Diligently document the progression of roofing projects, ensuring all data is accurate and up-to-date.
• Efficiently manage and prioritize tasks to support the roofing team's operational needs.
• Act as a liaison between the roofing team and other departments to ensure smooth workflow and timely completion of projects.

Your day begins with reviewing the project schedules and ensuring all necessary permits are ordered. You update job specifications in the system and communicate with the Accounts Receivable department about invoicing. Throughout the day, you balance various tasks from scheduling material drops to tracking project spending and updating insurance information. You are in constant communication with team members, ensuring smooth operations and timely project progression. Your role is pivotal in maintaining the organization and efficiency of the Residential Roofing team's projects.
