Position: Residency Program Assistant
Reports to: Residency Program Coordinator
Duties and Responsibilities:
■ Performs administrative duties for Residency Program Coordinator(s) and Faculty members
■ Screening calls and emails sent from reception
■ Managing multiple didactics, meeting, and trip calendars for Residency Program
Coordinator(s)
■ Making travel, meeting and event arrangements for Residency Program
■ Creating spreadsheets and presentations as directed by the Residency Program
Coordinator(s) and Faculty members
■ Organizing, maintaining, and filing paper and digital files and records
■ Preparing and editing correspondence, reports, and presentations
■ Providing quality customer service
■ Assists with other overflow work as directed by the Residency Program Coordinator
■ Assists with various similar tasks for other members of the residency team as directed by
the Residency Program Coordinator
■ Prompt, Regular attendance at the office
Required Skills:
● Excellent organizational, interpersonal and communication skills
● Strong computer and internet research skills, including high comfort level with office
software products (such as Google Apps, Microsoft Office, Adobe)
● Project coordination experience
● Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through
on projects to successful completion, often with hard deadlines and quick turnaround
times.
● Ability to work well with various levels of internal management and staff as well as
outside vendors and clients
● High level of flexibility and willingness to help with the daily tasks
Required Qualifications:
● Associate Degree in Administrative Assistant/business administration/management field,
or equivalent experience (at least 5 years in a clerical/administrative position)
