Job Description
The Rentals Coordinator will work up to 10 hours per week and will be a member of the operations department to plan, manage, and execute private event rentals at Wylde Center gardens. The Rentals Coordinator may work a weekly flexible schedule that may include weekends and evenings when necessary.
KEY RESPONSIBILITIES
The Rentals Coordinator will
- Provide prompt and empathetic customer service and a smooth experience for site rental clients throughout the rentals process; give personal tours when requested
- Facilitate site rentals contract and waiver for each client, facilitate payments through our online portal, and refunds of security deposits
- Schedule events on internal shared calendars with accuracy and consistency, ensuring that Wylde Center staff know when an event is happening and where
- Ensure the space is ready for events by coordinating and informing staff, working with Facilities and Greenspace teams to schedule cleanings, and spot-checking before client arrives
- Enforce rental policies and procedures and follow security protocols for each rental.
- Find solutions for client issues and questions when they arise
- Recruit, train, and schedule hosts for events that require chaperones
- Follow up after the rental to ensure client has left the space in good stead
- Weekly meeting with Operations Director and others as needed
QUALIFICATIONS
- Excellent customer service
- High organizational skills and consistent follow through internally and externally
- Excellent verbal and written communication skills
- Excellent scheduling and calendaring skills; ability to use Google Calendar or other shared calendar software.
- Ability to learn and grasp concepts quickly
- Meticulous attention to detail
- Resourceful and able to present solutions clearly
- Possess great attitude and team mentality
- Demonstrated ability to meet deadlines and respond quickly
- Possess a solid level of emotional intelligence to work effectively with a small team and skilled in relationship and consensus-building

- Preferred database or e-commerce experience

Additionally, Wylde Center provides one of the largest youth environmental and science education programs in metro-Atlanta, including the Decatur Farm to School program, Atlanta Farm to School, Healthy Living by Healthy Growing at the Decatur Housing Authority, and science program and field trips linked to Common Core standards.
