Position Overview:

The Healthcare Operations Manager is a pivotal role and our first full-time operations hire. You will be responsible for overseeing the daily operations of our practice, and will report directly to our company's CEO and will work directly with other managers in our organization. This role demands a dynamic individual with a blend of healthcare knowledge, operational acumen, and project management skills who is interested in playing a key role at a growing company.

About Health Loft:

Health Loft, based in Chicago, Illinois, provides medical nutritional counseling from expert registered dietitians (RD's) to clients in most states. We make it easy for patients to see an RD by accepting their health insurance and offering convenient access to a licensed professional via our telehealth platform.

Expectations:

  • Human Resource Management: You will be responsible for leading the onboarding and offboarding of providers as well as other staff members. Management of time off, payroll, and various HR challenges related to medical benefits or system access.
  • Provide support, troubleshooting, management/resolution of software related issues.
  • Delegate and manage work/projects related to our various vendors and/or internal stakeholders.
  • Oversee state registrations and filings as the company adds additional state workplace locations. This includes updating related fields in our HR platform at year end.
  • Analysis and reporting of KPI’s related to new client onboarding Report generation and analysis, and improve visualization of Excel or Google Sheets data to identify areas for clinical improvement.
  • Lead and manage special projects that align with the organization’s strategic goals. You will be responsible for project planning, execution, and evaluation, ensuring these initiatives contribute to the overall improvement and growth of the facility.
  • Embrace and integrate new technologies and practices, including tools like Smart Sheets, Google Docs, and Google Sheets, etc. to enhance healthcare delivery and operational efficiency.
  • Continuously look for, suggest, and implement ways to improve our internal processes and create a better experience for our customers and internal team members.
  • Communicate and work efficiently and effectively with internal team members including the CEO and members of management to address and resolve business challenges as they arise.

Qualifications:

  • Experience working in a start-up, telehealth, and/or healthcare practices preferred.
  • Understanding fundamentals of healthcare company operations, including insurance billing processes, adherence to healthcare regulations, and implementation of industry best practices.
  • Proven experience in Human Resources management.
  • Proficiency in Google Sheets, smart sheets, and knowledge of webhooks or other automation tools.
  • Familiarity with Healthie EMR and Rippling platforms preferred
  • Strong organizational and project management skills.
  • Ability to analyze data and make informed decisions to improve operations.
  • Excellent problem-solving abilities and capacity to handle multiple tasks simultaneously.
