Customer Service Specialist

The Customer Service Specialist’s top priority is to deliver exceptional service to our clients, and to support the team, enabling them to do the same. Must be a quick learner, adaptable, and self motivated, with the ability to independently overcome challenges and provide solutions.
This work-from-home REMOTE position, full-time 40 hours per week. Compensation is $18-$20 per hour based on experience.
Job duties include, but are not limited to:
- Assistant to the CEO & COO
- Answer all inbound phone calls and texts
- Accounts receivable and accounts payable
- Onboarding new clients: retrieving all required client information, creating new customer accounts in QuickBooks online and internal systems
- Web Chat management: responding to all online chat conversations, answering potential client's questions, scheduling appointments and retrieving all required information, composition of lead message
- Google calendar management and appointment scheduling for office staff
- Using a range of office software, including email, spreadsheets, ClickUp, Google Drive, Excel, Microsoft, WordPress and other databases
- Reviewing security & safety policies and ensuring they are observed
- Consistent email/phone communication with clients regarding billing, work orders, and inquiries
- WordPress security & backup maintenance
- Present innovative ideas to increase efficiency and productivity
- Assist with miscellaneous projects and general office tasks (remotely)
QuickBooks Online bookkeeping
- Billable hour recording
- Vendor and client invoicing
- Receiving and processing all inbound payments
- Managing all office bills and executing their payments
- All receipt, transfer and deposit entries
- Monthly bank reconciliation for bank accounts and credit cards
- Collections on past due accounts
Payroll duties
- Time clock management: timesheet change requests, PTO, and submission of final timesheets
- Manage retirement plan contributions
- Staff commission tracking, recording and submission for payroll
- Process payroll using Gusto including independent contractor payments
