Overview
The Society of the Four Arts is seeking a knowledgeable and experienced art museum professional to be a full-time Registrar & Exhibition Coordinator on a team of 50 full-time staff. The Four Arts is a nonprofit cultural organization founded in 1936 with the mission to encourage an appreciation for art, music, drama, and literature. We invite everyone to experience these creative arts through exhibitions, concerts, films, lectures, classes, and children’s programs. Our 10-acre campus along the Intracoastal Waterway in Palm Beach, FL, includes four historic buildings, a sculpture garden, botanical gardens, and two libraries.
Summary
Under the supervision of the Head of Fine Arts & Curator, the Registrar & Exhibition Coordinator oversees all records of objects belonging to or on loan to The Four Arts, assists with the management and care of these objects, and coordinates exhibition logistics. The responsibilities and tasks are numerous, and the Registrar & Exhibition Coordinator works as a team with the Head of Fine Arts & Curator to accomplish all departmental goals even if not specified in this description.
Primary Responsibilities
Collection Records: Manages the collection’s documentation, digitization, and archives. Oversees and maintains forms, legal documents, physical records, and digital records associated with accessioning, deaccessioning, cataloging, loans, conservation, packing, shipping, location, inventory, insurance, storage, and environmental monitoring of facilities and objects. Coordinates copyright permissions and rights and reproduction requests. Develops information and data standards and is administrator formuseum’s CMS Collector Systems. Performs research on collection and assists staff, members, and the public with research.
Collections Management and Care: Oversees tasks associated with accessioning and deaccessioning objects into/from the museum’s collection. Manages art storage, oversees object location control, and supervises physical access to collection. Condition reports and physically handles, moves, packs, and unpacks objects. Assists with installation/de-installation of collection rotations and monitors display environments. Responsible for collection inventory and ensures the museum maintains appropriate insurance coverage for collection and loans. Coordinates external collection services, including photography, conservation, packing, crating, and shipping, and manages associated records.
Exhibition Logistics: Maintains and distributes General Facility Report. Arranges packing and crating of objects and domestic and international shipping (and customs clearance). Inspects crates, condition reports, supervises and participates in installations/deinstallations, and schedules art handlers and couriers. Maintains insurance records and obtains insurance endorsements and certificates of insurance. Coordinates security, environmental climate control, and display requirements. Works closely with Four Arts’ staff and lenders to ensure the accuracy and implementation of exhibition contracts and loan agreements. Manages the museum’s exhibition documentation and archives (both physical and digital).
Administrative and Other Duties: Works closely with Four Arts’ staff to ensure coordination and alignment of museum-wide policies, procedures, and priorities. Assists with management and implementation of app builder STQRY about collection and Exhibitions. Serves as a liaison with other Four Arts’ departments and external parties and participates in cross-departmental meetings. Maintains knowledge of industry standards and practices by participating in relevant professional organizations and associated conferences. Performs miscellaneous job-related duties as assigned.
Minimum Requirements
· MA in Art History or Museum Studies
· Minimum of five years’ experience in museum registration or collections management directly related to the duties and responsibilities specified
· Ability to easily lift at least 40 lbs. from floor to 50 inches
· Ability to safely carry at least 40 lbs. for 30 feet
· Ability to climb a 12-foot ladder
· Ability to operate power tools requiring two hands
Preferred Qualifications
· Experience working in a museum or nonprofit cultural organization
· Broad knowledge of art and art history
· Knowledge of art museums and collections best practices, especially art handling, art preparation, packing and shipping, and preservation and conservation
· Knowledge of collections stewardship, legal and ethical issues in museum collections, registration methods and terminologies, and database management
· Proficiency in collection management systems
· Demonstrated organizational skills and ability to perform long-range planning while retaining flexibility within a fast-paced environment amidst shifting priorities
· High emotional intelligence with strong problem-solving and analytical thinking skills
· Ability to set and accomplish goals and to meet deadlines by effectively prioritizing
· Ability to work independently and collaboratively in a team-oriented environment
· Proficiency in Microsoft Office suite including Outlook, Word, and Excel, and ability to learn new digital tools as required
· Ability to gather data, compile information, and prepare reports
