Regional Office Administrator-KS
Job Summary:
Under minimal supervision, reviews contracts and purchase orders for compliance with written quotes;administersassignedcustomercontracts;respondsto customer inquiries as appropriate; performs order entry and expediting of orders;work closely with other departments at the corporate level to increase productive workflow within the company;ensures sales orders conform to purchase orders and quality standards; provides prices and delivery date in response to phone inquiries; and performs related duties as required.

Examples of Duties and Responsibilities:
- Establishes and directs Regional Sales Order and Marketing policies, procedures, and operations;
- Answers phone and assist in gathering information and customer contact information;
- Build and manage relationships with customers
- Resolves administrative, technical, and customer problems;
- Work with the sales team to keep them updated open orders and projects
- Reviews Purchase Orders to ensure conformity to price, engineering specification, and quality standards;
- Plans and executes all sales order activities necessary to interface with design engineers, specialists, customers, and users;
- Ability to set up new customers by obtaining credit information and resale information.
- Inputs new orders and changes into system and notifies Corporate of changes;
- Works within an established Region's operating goals;
- Expedites existing orders and update estimated delivery information;
- Drives orders by interacting with other departments such as Accounting, Production and Purchasing;
- Completes returned goods authorizations and subsequent credit memos;
- Create purchase order requests as needed
- Create new part numbers in the company operating system
- Order office supplies as needed
- Handles Field Service Dept. account set-up and billing;
- Prepares repair order records and initiates billing of those repairs;
- Reads and follow company rules, policies, procedures, and safety guidelines;
- Other duties as assigned;
- Regular punctuality, attendance, and absence reporting in conformance with company policies is essential to the successful performance of this position; and
- Fully comply with company rules, policies, procedures, and safety guidelines to ensure safe and effective operations.
QUALIFICATIONS GUIDELINES:
Any combination equivalent of, but not limited to, the following:
Experience/Training/Education
High School Diploma or equivalent required. Proficient in Microsoft Office. Experience in MRP2, Syteline, or APICS and training in computer order entry; inside sales, and accounting practices and procedures preferably in a manufacturing environment.
Knowledge/Skills/Abilities:
- Skilledin operation of computer hardware, office equipment and software applications functions involving sales and order entry work;
- Ability to be trained in company related software systems (ex: Syteline, SharePoint, Shiva, Microsoft OneNote & Teams)
- Thorough knowledge of sales, accounting, and purchasing, methods, and practices
- Ability to read and interpret purchase orders
- Detail oriented to audit and check open orders and customer accounts
- Ability to communicate and work cooperatively with others including co-workers and customers
- Knowledge of accounting principles and practices
- Ability to establish and maintain effective relationships with management, customers, vendors, and departmental representatives
- Ability to understand and follow instructions
- Manage time and workload in an effective manner
- Ability to organize and complete assigned work as scheduled
- Ability to type 45+ wpm.
Physical Requirements:
- Must be able to occasionally lift, move or carry literature, materials, pilot controls and small valves weighing up to 10 pounds;
- Ability to Input Data for extended periods of time during the workday;
- Ability to operate office equipment such as computers, printers, filing cabinets, photocopiers and other office equipment, as applicable;
- Ability to work (sit and/or stand) at a desk for majority of the workday; walking and/or standing may be required for extended periods of time, but not typical;
