Job description

Director of Operations
The Director of Operations is responsible for providing leadership, management support and oversight to multisite clinical operations staff throughout the PRISM-in order to facilitate the overall efficient and cost-effective operations of practice locations while delivering exceptional patient and provider satisfaction. In this role, the Director of Operations is responsible for supporting operating priorities and forecasts, strategic initiatives as well as planning and coordinating the practice operations in conjunction with the practice managers and other Directors of Operations. This position reports directly to the Senior Vice President of Operations.
  • Dissemination and reinforcement of PRISM Mission, Vision Values & Goals.
  • Review, analyze, report and manage practice performance metrics and key performance indicators (KPI) in daily & monthly operational dashboards and financial "decks" to achieve PRISM strategy & goals consistent with patient, provider and employee satisfaction
  • Measurement, reporting and analysis of patient and provider satisfaction data and metrics to achieve practice and provider goals, and consistent with PRISM strategy & goals.
  • Work with HR partner to manage recruitment, hiring, training & retention of divisional staff members; identify and execute growth, development and succession plans for key team members.
  • Participate in the annual and quarterly PRISM Budget Operating Planning process and review progress through monthly updates, variance analysis and management reviews.
  • Oversee and manage execution by Office Managers of daily operations of divisional practices including patient access-schedule and flow, financial planning, analysis & reporting, revenue cycle, credentialing, provider relations, MIPS, clinical & surgical services, and optical departments.
  • Supervise in conjunction with other managers, development and administration of physician and staff schedules for meeting daily patient care and surgery requirements with high patient satisfaction.
  • Oversee and assist Office Managers in resolution of patient grievances as necessary.
  • Oversee and assist Office Managers in PSR & Technician communications and delivery training.
  • Working with RCM partner, assist in the management, implementation and continued training of best practices including pertaining to the process of insurance verification, confirmation, preauthorization, claim filing and reimbursement.
  • Guide the managers through changing HR situations using best practices to avoid pitfalls that can further complicate situations.
  • Assure compliance and accreditation with OSHA, HIPAA, AAAHC and other state and federal healthcare regulations.
  • Assure Compliance with changing state and federal labor laws (Paid Family Medical Leave, MA Equal Pay Law, ADA, etc.)
  • Maintain and utilize current knowledge of ophthalmic ICD-10, Medicare, HCPCS, third party payor and CPT coding and compliance issues to meet practice objectives.
  • Review and ensure compliance with MIPS/MACRA requirements.
  • Manage and coordinate maintenance and repairs of office equipment and facilities.

Education: Bachelor's Degree in Business or healthcare discipline, MBA preferred.
Experience: 8+ years of experience in multi-site medical practice management; Ophthalmology preferred.
  • Understanding of HIPAA, ADA, OSHA and other regulations; facility in supporting compliance and safety standards
  • Effectiveness in oral and written communication; ability to deliver clear directives and set expectations
  • Working knowledge of CMS Medicare guidelines
  • Proficiency in medical software applications and data mining programs
  • Knowledge of insurance regulatory issues, billing and coding practices
  • Advanced technical and analytical skills; aptitude for all aspects of business development
  • Focus and motivation in understanding and supporting practice goals, services, culture and strategy
  • Efficiency and creativity in population health management; ability to make recommendations towards maximizing patient schedules through growth strategies
  • Demonstrated excellence in organization, planning and project management; skilled in record keeping, data collection and systems information
  • Demonstrated ability to implement and monitor new initiatives, provide appropriate feedback and/or corrective actions
