Position Title: Refugee Foster Care Finance Coordinator

FLSA Classification: Non-Exempt

Full or part-time status: Full-Time

Department: Migration and Refugee Services

Reports to: Refugee Foster Care Program Manager

Hiring Range: $18.00-$23.00/hr. DOE

Primary Function of Position

Take on the primary responsibility for overseeing financial record-keeping and managing expenditures for the program. Provide essential assistance to the program manager by addressing administrative needs and offering clerical support. Collaborate closely with Foster Care staff, ensuring efficient expenditure tracking and handling check requests with diligence.


Major Position Responsibilities

  1. Expenditure Management: Maintain meticulous tracking of all expenditures by clients, foster parents, and vendors. Process check requests following CCS finance department policies and ORR regulations to ensure accurate financial records.
  2. Grant Compliance: Collaborate with the finance office to coordinate and guarantee compliance with grant requirements and other regulations governing the program. Uphold financial standards to meet organizational and external guidelines.
  3. Monthly Reconciliation: Perform monthly reconciliation of petty cash and bus pass logs, ensuring accuracy and adherence to financial protocols.
  4. Flexible Support: Perform other duties as assigned.

Work Environment

  1. This role is in a professional office environment, utilizing standard office equipment, including computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

  1. The nature of this position is primarily sedentary, with occasional filing tasks that involve lifting files, opening filing cabinets, and as needed, bending, or standing. The role requires the ability to sit and stand for extended periods, walk moderate distances, and occasionally participate in physical activities to assist youth, including carrying groceries or household supplies.

Education, Training, and Experience

  1. Academic Qualification: Bachelor's degree or equivalent experience, including proficiency in bookkeeping and accounting.
  2. Administrative Expertise: Strong background in administrative, office, and bookkeeping roles.
  3. Software Proficiency: Mastery of QuickBooks and Excel software applications.

Background Screening Requirement

  1. Must pass a national BCI/FBI background check.

Position status and expected schedule

  1. Position Status: This full-time position requires 40 hours of work per week, with mandatory staff meetings taking place every Tuesday from 10 AM - 12 PM.
  2. Work Hours: The 40-hour work week is typically distributed between Monday and Friday, with operational hours falling between 8:00 AM and 9:00 PM.
