Position Summary:
The Records Clerk will support the Vero Beach Field Office in managing records through various tasks including records review, creation of series arrangement spreadsheets, assembly of boxes, documentation preparation, and coordination with USFWS staff. This role requires meticulous attention to detail, as the clerk will be responsible for accurately documenting metadata, sorting records for retention or destruction, and ensuring compliance with regulations. The position involves physical tasks such as lifting boxes and requires agility and dexterity. Candidates should possess general clerical experience, familiarity with records management fundamentals, and the ability to work independently. This is a 6-week project with the potential for a performance-based bonus upon successful completion.
Responsibilities:
- Conduct thorough review of file folders.
- Generate box lists following the guidelines outlined.
- Organize and assemble boxes for storage or disposition based on requirements.
- Prepare box lists for retention and disposition, ensuring compliance with regulations.
- Sort file folders into appropriate categories for destruction or retention, adhering to regulations.
- Record metadata including document series, description, file location, and disposition date at the folder level.
- Engage in physical activities such as bending, lifting boxes weighing up to 30lbs, and other tasks requiring agility and dexterity.
Qualifications:
- Previous experience in clerical roles and records management projects.
- Proficient in data entry, files management, records disposition, scanning, and document preparation.
- Ability to work independently on assigned tasks with minimal supervision.
- Capable of providing support in various administrative tasks like typing, data entry, and copying.
- Demonstrated ability to meticulously review, organize, and document records with precision, ensuring accuracy and compliance with established guidelines and procedures.
- Ability to effectively communicate and coordinate with staff as needed.
- Capable of performing physical tasks associated with the role, including bending, lifting, and reaching.
- Strong organizational and communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- US citizenship and ability to pass a background check.
- Valid state driver’s license, preferred.
- MUST BE ABLE TO PASS A GOVERNMENT LEVEL CRIMINAL BACKGROUND CHECK.
