Position Summary
This position supports the Administrative Departments of NEBCO by providing general services such as filing, receptionist and mail backup, accounting support, and operating the Imaging System to ensure timely and accurate scanning of documents.  Must abide by Company Safety Program and Policies, while performing duties safely. Consistent and reliable attendance required.

Essential Duties and Responsibilities include, but are not limited to, the following:

Performs Office Support duties to the Accounting & Administration departments to address workload responsibilities. 

Provides daily receptionist/phone duty backup and/or mail support activities including special delivery and postage (FEDEX, UPS).

Provides support filing assistance, which may include purging and archiving old documents.  May retrieve files for others, as needed. Boxes up files for document storage and creates an itemized list of contents.  

Becomes technically proficient regarding the office copier, assures office copier is working and informs technicians of specific problems, coordinates office equipment maintenance as needed.

Performs in other related tasks such as ordering office supplies for the department, ensuring supplies are available for upcoming projects, assisting in large copy projects,

Assists various Accounts Payable personnel by folding and stuffing Accounts Payable checks and prepares checks for mailing.

Files daily Account Receivable documents, makes file folder labels as needed, labels Accounts Payable and Accounts Receivable file drawers.

Organize Accounts Payable batches for storage retention. 

Efficiently and effectively scans and uploads documents using a scanner and imaging software.

Compiles and sorts documents, such as invoices and checks, substantiating business transactions.

Ensures that all job information catalogued and accurately entered into the scanning tracking system and is always up to date.

Other duties and special projects as assigned.

Education and/or Experience:                                                       

  • High School Diploma or GED; and
  • two years of related office experience, accounting/bookkeeping experience and/or document imaging/scanning experience; or
  • an equivalent combination of education and experience.

Skills and Abilities:                           

  • Experience with Excel and Word software. OnBase experience helpful, but not required.
  • Must have excellent numerical skills with a high degree of attention to detail.
  • Have working knowledge of Accounting and Accounting software (OnBase preferred, but not required); Spreadsheet software and Word Processing software.
  • Must have office equipment mechanical skills.
  • Must recognize and adjust personal time off, breaks, and lunches to ensure sufficient coverage for phones and mail.
