The Radiation Oncology department at Christie Clinic is seeking a full-time candidate for our Receptionist/Insurance Specialist position. This position is as needed between the hours of 8:00am-4:30pm. Duties include: scheduling/checking in patients, obtaining medical records, answering phones, assisting with the checkout or rescheduling process, and acquire authorizations. Additionally, this role will communicate with the staff any concerns brought forth by patients The Radiation Oncology team is very patient focused and are seeking the same in our applicant. In Radiation Oncology, we treat the patients with a cancer diagnosis with Radiation. We strive to provide a patient focused, caring, family atmosphere for our patients and team members.
TYPICAL PHYSICAL DEMANDS:
Demands include sitting, standing, walking, bending, stooping, stretching and lifting up to 25 pounds. Hearing within, or correctable to, normal range, vision correctable to 20/20 and manual dexterity for the operation of office equipment is required.
TYPICAL WORKING CONDITIONS:
Work is performed in a medical office setting with possible exposure to communicable diseases, toxic substances, hazardous waste, bodily fluids and other waste common to a health care environment. Requirements may include working irregular hours.
JOB DUTIES: (This list may not include all of the duties assigned.)
- Acquire authorizations for all Radiology exams and procedures used for planning in Radiation Oncology. Document in the EMR. Work the outside referral work queue. Referrals for diagnostic imaging will be obtained by the Radiology insurance specialists.
- Contact the patient when scheduling their planning procedures ad inform the patient of any required prep or instructions regarding their treatment. Ask patient if they would like a copy mailed or placed in their portal for future reference.
- Demonstrate the ability to promptly answer a high volume of phone calls and schedule patient appointments with provider in a courteous manner.
- Greet patients and visitors in an efficient, professional and courteous manner and solicit customer feedback to improve service.
- Provide host duties for Radiation Oncology including: calling for rides, assisting with wheelchairs, etc.
- Complete the check in process for patients.
- Verify and update necessary demographic information.
- Maintain provider schedule in outlook and ARIA.
- Keep a neat and orderly work and lobby area.
- Maintain patient refreshments in the waiting room.
- Maintain relevant office supplies for department effectiveness.
- Distribute mail to staff and assist in FedEx mailings, patient surveys.
- Monitor the department work queue in the EMR. Schedule consults, referral visits, follow-ups, tests, labs and other appointments, as requested. Schedule in a timely manner, ensuring relevant testing need for the consultation has been completed. If an emergent patient should arise, discuss with the Provider and Nurse as to when the patient can be seen.
- Ensure patient has current insurance information, update information as needed.
- Schedule consults, referral visits, follow-ups, tests, labs and other appointments as requested. Notify department staff of the upcoming date of consultation via email with patient name, DOB, MRN, insurance, diagnosis and referring
- Flag patients in the EMR as a Radiation Oncology patient. Verify demographic information transferred correctly. In ARIA the patient should appear in all capital letters. Confirm the insurance transferred and identify the referring provider.
- Create a file for each patient in the department G-drive. Include in the folder, patient face sheet, pathology report, copies of insurance and a work sheet for the diagnosis completed with patient information.
- Change financial class for charges on a patient's account, update Business Services of change. Verify accurate insurance information at time of consult, as well as at follow-up visits and monthly for under treatment patients. Update insurance cards in EMR as needed.
- When authorization is received, scan into ARIA, send to the EMR and enter a journal note of the authorization information. Provide a copy to the manager.
- Place pathology into patient's ARIA chart and assign to the Radiation Oncologist to review.
- Scan consent forms into ARIA in patient's documents. Sent to HIM for placement in the EMR.
- Send radiation therapy completion notes to all referring providers via the EMR.
- Monitor the PSR in-basket in the EMR for any referrals, or correspondence form the provider regarding scheduling of patients.
- Perform any and all duties related to reception for the department, and all other duties as needed.
