Agent Support -Marketing Assistant/Receptionist
Julia B. Fee Sotheby's International Realty is seeking a highly motivated and organized individual to join our team as a Real Estate Office Receptionist/Marketing Assistant based out of the firm's Scarsdale, NY brokerage. The Brokerage Administrative Assistant will be in direct communication with the brokerage's sales manager and support team to support the office's functioning and acting within a welcoming capacity. Responsibilities include:
- Provide administrative support to the office and real estate agents, including managing phone calls, emails, and correspondence.
- Coordinate and schedule appointments, meetings, and property showings for the agents.
- Assist with office operations, including maintaining office supplies and equipment.
- Prepare and organize real estate documents and contracts, ensuring accuracy and compliance.
- Manage and update the company's database systems with client and property information.
- Assist with uploading photography for the office's listings.
- Support marketing efforts by coordinating mailings, preparing promotional materials, and assisting with digital marketing campaigns.
- Assist agents with templated social media and postcard assets.
- Collaborate with the team to ensure smooth office operations and provide assistance during special events or projects.
Qualifications:
- Strong communication skills, verbal and written
- Experience in real estate and real estate license preferred but not required
- Strong working knowledge of Microsoft applications: Word, Excel, PowerPoint, Outlook
- Minimum two years professional administrative assistant/reception experience
- Ability to multi-task, prioritize and be flexible with changing business needs in a team environment
