Join our team as our new Administrative Assistant!

WORK HOURS: Monday - Friday; 40 hours per week; 8:30 am - 5:00 pm

PRIMARY JOB FUNCTION:

- Respond to incoming telephone calls and greeting visitors.

- Provide administrative support to the Business Office in an organized, efficient and professional manner.

- Prepare various correspondences and documents using word processing or spreadsheet applications.

QUALIFICATIONS: Prior experience in a business office setting or customer service preferred.

Proficient knowledge with Microsoft Office and telephone systems.

Must be able to meet and work well with people and establish good public relations.

High School diploma or equivalent.

ESSENTIAL JOB FUNCTIONS

  1. Responding to incoming telephone calls and greeting visitors.
  2. Responding to Building Security System.
  3. Assist residents and visitors with questions and be able to direct them to the proper persons.
  4. Maintain an up-to-date list of all facility key personnel.
  5. Maintain an up-to-date list of the Snow Emergency/Survey Calling Tree.
  6. Maintain a current listing of residents for our Resident Directories.
  7. Update the directories on a weekly basis as well as stock maps and brochures.
  8. Create resident name signs for doors and rooms.
  9. Receive and sort resident mail and distribute business mail to staff utilizing mailboxes in the mailroom.
  10. Responsible for inventory and ordering of office supplies.
  11. Assist residents with transactions regarding their trust fund account.
  12. Responsible for submitting payments to various companies from the resident trust account.
  13. Maintain resident trust fund, post withdrawals, deposits and balance the trust fund account monthly.
  14. Assist residents, families or staff with various cash drawer transactions.
  15. Balance cash drawer on a daily basis.
  16. Ensure the completion of new admission files and the discharge of resident files upon death/discharge.
  17. Scan documents to resident personal record using the Point Click Care software.
  18. Assist in applying haircare and special meal charges to the resident's accounts.
  19. Assist in in preparing daily deposits.
  20. Provide support to the CEO with administrative duties as assigned.
  21. Must be proficient in Word, Publisher and Excel.
  22. Create Monthly Employee Newsletter.
  23. Must be proficient in typing, keyboarding, spelling and proofing of their work as well as the work of others.
  24. Must possess manual dexterity sufficient to do perform data entry, filing and other typical office duties.
  25. Must have the visual acuity sufficient for close paperwork and frequently viewing computer monitor.
  26. Must also have the ability to distinguish colors.
  27. Must have hearing acuity sufficient for effective communication in person and by phone.
  28. Must be able to work in a sedentary position (sitting with intermittent times of getting up and down throughout an 8 hour shift); standing and walking occasionally. Must be able to exert up to 10 pounds occasionally for lifting or moving objects. Must also bend and reach, as well as grasp and carry objects.
  29. Responsible to demonstrate effective verbal and written communication during interaction with administration, management, facility staff, residents, and families, as well as the public, in carrying out the duties of the position.
  30. Responsible to demonstrate organizational skills with attention to details.
  31. Other job related duties as assigned.

OTHER JOB FUNCTIONS

  1. Attend in-service and department meetings.
  2. Participate in MSLCC's Quality Assurance Process Improvement program as assigned.
  3. Will be responsible to be aware of the Volunteer Protection Program (VPP) and Risk Management/Safety Program and will adhere to the established policies and procedures within the Administrative department and facility wide with regards to job performance and safe operating procedures.
  4. Must respect and uphold resident rights in all regards including confidentiality of resident's personal, financial, and health information.
  5. Demonstrates MSLCC's customer service standards of excellence.
