The Receptionist is responsible for answering a multi-line telephone system and directing incoming calls, guests, clients, packages, and vendors to appropriate Company staff. Assists in the preparation and servicing of refreshments during meetings and performs general office functions to support Company needs.
Duties and Responsibilities
- Answers a multi-line telephone system and directs incoming calls accordingly to support business operations in a proficient, professional and friendly customer service manner.
- Prepares the office for the work day by ensuring postage machine is properly metered and all coffee and coffee supplies are available and re-supplied as needed.
- Checks the fax machine, distributes fax notices and notifies appropriate vendor of machine problems/errors in a timely and prompt manner.
- Announces guests, clients and associates to appropriate staff in a professional manner. Receives packages and notifies appropriate staff in a timely and accurate manner.
- Performs general office support including copying, faxing, sending mail and UPS packages, typing, filing and other special projects as assigned.
- Prepares and sends out mail daily. Prepare and send UPS packages weekly. Delivers mail to the mail boxes at the end of each workday. Picks up mail from box and distributes to each employees’ mail slot.
- Conserves resources by controlling costs, adhering to budgets and using prudent judgment related to expenses incurred by the Company.
Qualifications
- High School diploma or equivalent. College graduate or some college classes preferred.
Experience
- Three (3) to five (5) years reception or upper level administration experience.
- Exemplary computer skills that include knowledge of the Microsoft Office Suite of products.
