Position Summary:
The Receptionist manages the main office communications, including but not limited to answering phones, transferring calls, taking messages, and responding to inquiries. This position is classified as a non-instructional position and is a member of the office staff. The receptionist will play a pivotal role in supporting the Office Managers and school-based teams in realizing our core commitments: continuous improvement, academic outcomes, and equity, access & development. Travel to campus is required.
Duties and Responsibilities:
Mission, Vision, Core Values: Execute tasks for the front office staff that aligns with the organization's mission and values. Collaborate with the Principal, Assistant Principals, and school-based teams to foster a welcoming and organized environment for all.
Ethics and Professional Norms: Maintain confidentiality and professionalism with all students, staff, and families.
Equity and Cultural Responsiveness: Ensure that each student is treated fairly, respectfully, and with an understanding of each student's culture and context.
Communications: Answer and respond to all inquiries by phone and in person. Screen communication for the Principal, staff, students, by determining purpose and recording all messages for staff. Submit work order tickets for technology and facilities. Maintain and update all communication to families and students. Communicate with students and families to restate policies and protocols related to general school expectations, functions, schedule, enrollment and other school-related policies. Partner with the Dean on communications as it relates to breaches in school policies.
Support for Students and Attendance: Promote relationships that value and support academic learning and positive social and emotional development. Supervise students in the office, monitor and respond to student behavior. Maintain and ensure accurate attendance records using online platforms such as PowerSchool and Aspen.
Enrollment and Registration: Foster positive relationships with staff, students, and parents and/or guardians. Represent the organization in relevant community events and initiatives. Ensure accuracy of the student information system and initiate any corrections as needed. Ensure compliance with health documents collection from each student. Stay abreast of all registration and enrollment processes and deadlines and support families in the registration process.
Operations and Management: Collaborates with the Office Managers in phone calls and communications by email and mail. Assist in office supply inventory and distribution of supplies and materials to staff. Maintain and troubleshoot office equipment as appropriate. Maintain an organized office environment and workspace.
Perform other duties as assigned.
Qualifications:
- Education Level: High School Diploma
- Experience: A minimum of 1 year of office experience (required)
- Language: Bilingual fluency in verbal and written Spanish/ English required. Bilingual Arabic/English; Urdu/English (strongly preferred)
- Technology: Ability to use digital communication platforms such as PowerSchool and Google Suite: Docs, Sheets, Forms, Email, Calendar. Familiarity with troubleshooting office equipment.
- Communication and Collaboration: Excellent communication and interpersonal skills, with the ability to collaborate effectively with various stakeholders.
- Results-Oriented: Strong analytical and problem-solving skills, with the ability to use data to drive decision-making.
- Change Management: Demonstrate ability to work in a fast-paced, dynamic environment and adapt to changing priorities.
- Educational Ethics: Passionate about promoting equity and inclusion in education, with a commitment to dismantling systemic barriers.
