Receptionist

We are looking for someone to set the bar for professionalism and carry the company culture from the initial impression at our entrance for employees and guests as well as efficiently completing administration tasks. Your role is to create and maintain a professional, welcoming environment, and ensuring above average communication.
Responsibilities

• Serve as the greeter and gatekeeper for all guests, vendors, deliveries, etc.
• Work with the building manager on maintenance, supplies, equipment, etc.
• Schedule meetings and appointments.
• Distribute deliveries.
• Process the mail as directed.
• Maintain the office condition and communicate or arrange necessary repairs.
• Partner with HR to assist with on-boarding for new hires as needed.
• Order supplies, refill supplies including kitchens, fridges, copier paper, etc.
Handle vendors as assigned
• - for example, the shredding company.
• Assist with marketing tasks as directed.
• Coordinate with IT as needed.
• Manage contract and price negotiations with vendors as directed.
• Provide general support to visitors.
• Aid recruiting efforts by completing pre-screening calls as directed and scheduling next steps.
• Assist with swag requests as directed.
• Other duties as assigned.

Skills

• Experience as an office manager, receptionist, scheduler, or administrative assistant or equivalent.
• Proficiency in MS Office (MS Excel and MS Outlook, in particular)
• Excellent time management skills and the ability prioritize work
• Attention to detail and problem solving skills
• Above average written and verbal communication skills
• Strong organizational and planning skills in a fast-paced environment
• A creative mind with an ability to suggest improvements
• High School degree required, additional education preferred.
