Responsibilities
- Serve as the greeter and gatekeeper for all guests, vendors, deliveries, etc.
- Work with the building manager on maintenance, supplies, equipment, etc.
- Schedule meetings and appointments.
- Distribute deliveries.
- Process the mail as directed.
- Maintain the office condition and communicate or arrange necessary repairs.
- Partner with HR to assist with on-boarding for new hires as needed.
- Order supplies, refill supplies including kitchens, fridges, copier paper, etc. Handle vendors as assigned
- - for example, the shredding company.
- Assist with marketing tasks as directed.
- Coordinate with IT as needed.
- Manage contract and price negotiations with vendors as directed.
- Provide general support to visitors.
- Aid recruiting efforts by completing pre-screening calls as directed and scheduling next steps.
- Assist with swag requests as directed.
- Other duties as assigned.
Skills
- Experience as an office manager, receptionist, scheduler, or administrative assistant or equivalent.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Excellent time management skills and the ability prioritize work
- Attention to detail and problem solving skills
- Above average written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- High School degree required, additional education preferred.
