Job Description
Receptionist:
Job Summary: The Receptionist must be reliable, have a positive outlook, good written / verbal communication skills and be proficient with Microsoft Office.
Key Duties and Responsibilities:
Manage Incoming Communications:
- Professionally handle and route all incoming phone calls, ensuring prompt and accurate connections to the appropriate personnel.
- Monitor and respond to emails, forwarding them to the relevant departments as needed.
Provide a Welcoming Environment:
- Offer a warm and friendly greeting to all visitors and employees entering the office premises.
- Maintain a tidy and inviting reception area.
Exceptional Customer Service:
- Assist and guide individuals approaching the front desk with inquiries, providing excellent customer service and timely solutions.
Clerical and Administrative Support:
- Provide comprehensive clerical and administrative support to the management team.
- Assist in the preparation of manufacturing orders and sales quotations using Microsoft Excel, ensuring accuracy and efficiency in document creation.
Collaborate with Sales Department:
- Work closely with the Sales Department to compile and organize quotations, ensuring accuracy and timely delivery to clients.
- Maintain a repository of sales quotations for reference and analysis.
Office Supplies and Inventory Management:
- Monitor and maintain office supplies inventory, ensuring that necessary items are always available.
- Place orders for office supplies as needed, adhering to budgetary guidelines.
Visitor and Vendor Coordination:
- Coordinate visitor and vendor access to the premises, ensuring security protocols are followed.
General Administrative Tasks:
- Assist in data entry, filing, and record-keeping tasks.
- Support ad-hoc projects and tasks as assigned by management.
Qualifications:
- High school diploma or equivalent; additional administrative or secretarial training is a plus.
- Excellent interpersonal and communication skills.
- Proficiency in Microsoft Office applications, especially Excel.
- Strong organizational and multitasking abilities.
- Professional appearance and demeanor.
- Previous front desk, receptionist, or administrative experience is preferred.
