JOB SUMMARY:
The Receptionist/HR Assistant is responsible for operating the reception phone queue, greeting guests, and supporting the Human Resources department by compiling and keeping personnel records. This position reports directly to Senior HR Generalist. Data is recorded and maintained in the employee Human resources files and the Human Resources Information System. Supports other departments as required. Manages high volumes of calls.
ESSENTIAL FUNCTIONS:
- Answer multi-line phone system and direct calls as needed.
- Greet customers/visitors as they enter the office.
- Scan, load documents
- Research and email appropriate audience of file issues
- Traditional administrative support: copying, filing, mailing, organizing, ordering supplies,
- Assists the Human Resources department with employee/personnel projects, including mailings, monthly reports & various HR tasks.
- Assist in file audits for compliance and form tracking systems to maintain compliance.
- General office and administrative duties as assigned.
- Other duties and responsibilities will be assigned as seen fit.
KNOWLEDGE OF:
- Experience working in or supporting an HR Department preferred
- Experience using multi-line phone systems.
ABILITY TO/TRAINING REQUIREMENTS:
- Use Microsoft Office Suite of programs.
- Multitask
QUALIFICATIONS:
- High School graduate or Associates’s degree preferred.
- 1-year Human Resources Experience
- Demonstrated ability to work effectively in a time-sensitive, multi-task environment.
- Demonstrated orientation/focus to detail.
- Willing to help others, Action-oriented and self-motivated.
- Excellent interpersonal skills, ability to work effectively in changing environments with a full range of personalities and work styles.
- Knowledge of general office practices, systems, policies, and procedures and the ability to appropriately apply the information in specific situations.
- Intermediate to advanced skills in all Microsoft Office Software – Outlook, Word, Excel.
- Excellent communication skills, both written and verbal
- Ability to maintain strict confidentially in all aspects of the job.
- Must be able to speak, read/comprehend and write in English.
- Capacity to work overtime as needed.
PHYSICAL DEMANDS AND WORKING CONDITIONS: The physical demands and working conditions requirements indicated below are examples of the orders to carry out the essential job functions.
Physical Demands: Sitting, standing, and walking (up to continuously); frequent use of computer and telephone requiring repetitive finger, hand, and arm movement; occasionally carry office supplies and other miscellaneous items up to 30 / 50 pounds, continuous use of seeing, hearing, verbal communication.
Working Conditions: Working in an office setting indoors; frequent exposure to temperatures commensurate with outdoor seasonal temperatures.
