Our Woodbury, MN office is looking for a Receptionist to serve as the first point of contact with customers, clients, and prospects as they call or visit our office. The individual's goal is to provide the highest level of customer service.
Reception Duties:
- Responsible for greeting clients in person for meetings and providing a high level of customer service to new/existing clients
- Handle incoming client calls for appointments and service needs making sure they relate to someone that can help
- Engage and establish relationships with our clients in person and over the phone
- Prepare and maintain conference rooms and beverage stations and obtain beverages for clients
- Assist financial advisors with various requests throughout the day
- Mange financial advisors’ calendar and conference room booking
- Collect and distribute mail for each team
- Order office supplies
- Manage incoming and outgoing USPS, FedEx, and UPS mail deliveries
- Maintain office cleanliness and client preparedness:
- Make sure dishes are clean and kitchen area is properly maintained
- Order various client related beverages and candy
- Ensure the Reception Area is proper for client visits
- 4-year college degree a plus not required.
- 2+ years of Customer Service/Office/Reception experience a must
- Good working knowledge of Word, Excel, Outlook, and PowerPoint
- Professional appearance; voice and interaction with customers
- Excellent oral and written communication skills
- Ability to work with all levels of staff and management
