The Pottawattamie County Recorder's Office is announcing the hiring of a Real Estate Specialist.
An individual in this position assists with the recording and auditing of Real Estate documents and manages the Real Estate window answering related questions and helping customers. Administers the passport application process as a certified Passport Agent. Serves as Deputy or Operations and Passport Manager in their absence.

Knowledge of and the ability to record, index and answer questions regarding all types of documents including Real Estate related, such as deeds, mortgages, affidavits, tax liens, Assignments, UCC's and contracts by utilizing broad knowledge of Iowa Code.
Utilize and operate a scanner to record documents then utilize computer to index, and input documents. Maintain the accuracy of various departmental books and records including Real Estate indexes and plat books.
Working knowledge and understanding of complex land legal descriptions and manage the Real Estate Window answering related questions and assist the public, abstractors and attorneys in utilizing records online and Recorder's books.
Analyze documents presented and compute, as well as, collect the appropriate fees for recording and complete appropriate actions to record, release, index and maintain such records in an accurate and timely manner. May require hand notation for some documents.
Oversee, organize and manage the day to day digitizing project of records. Works with FIDLAR and Iowa Land Records to ensure the accurate indexing and recording of digitized documents.
Perform all duties and work in the DNR area. Register or title boats, jet skis, ATV's, snowmobiles and off-road motorcycles. Renew boat and jet ski registrations. Issue hunting and fishing licenses.
Assist Deputy & Operations and Passport Manager as needed.
Answer questions and accept passport applications from customers, take their pictures, collect a certified U. S. Birth Certificate and Driver's License. Collect fees and compile information and documents, log information and transport to local post office daily.
Requires Web based training or classroom training at a regional passport agency or at selected locations in the region and pass associated tests at least once a year.
Manage money collected utilizing cash registers. Count money and balance cash drawers, perform basic bookkeeping procedures.
Establish and maintain effective working relationships with the general public, governmental officials, and co-workers.
Prepare and maintain various departmental records, reports, correspondence and other departmental documents ensuring their accuracy. Sort and process both incoming and outgoing departmental mail.
Assist with all other departmental division functions as needed, except vital records.
May be required to work occasional weekend hours.
Perform scanning duties such as scanning documents into the computer, transferring scanned information according to established procedures.
Perform other duties as directed or as the situation dictates.
Knowledge of Real Estate documents and legal descriptions with the ability to decipher legal descriptions and answer associated questions for customers, ie, types of deeds, land records, surveys and Plats calculating appropriate Recorder Fees.
Working knowledge of FIDLAR Technologies Software for the purpose of recording and maintaining documents.
Knowledge of and the ability to utilize routine office procedures, standard clerical techniques.
Ability to operate common office equipment such as computer, calculators, fax and postage machines, photo copiers, multi-line telephone and scanner. Working knowledge of Microsoft Office suite.
Ability to multi-task, pay close attention to detail and must be detail oriented while accurately performing duties.

Will not have access to or overlapping duties between passport acceptance functions and birth or identity document printing, amending or issuance functions, including performing duties on different days or hours.
Minimum of two years' experience working with Real Estate and / or land records such as a Title Searcher / Abstractor or equivalent education required.
Must possess a high school diploma or GED equivalent.
Must be at least Eighteen years of age and a U.S. Citizen.
Ability to successfully pass a background check and drug screening.
