JOB SUMMARY: The Real Estate Lead Administrator plays a critical role within the marketing and sales organizations as this person is responsible for and will manage all inbound leads across all marketing channels, campaigns, and initiatives. This role will collaborate with the marketing team, sales organization, club membership directors and special events coordinators throughout the organization to execute the campaign workflow processes and provide response analysis at the conclusion of marketing campaigns. This role will act as the liaison to our sales teams across all regions to ensure database accuracy, management of collateral and fulfillment, reporting and accountability. Additionally, the Real Estate Lead Administrator will coordinate inventory and fulfillment of marketing collateral pieces and assist with marketing needs as available. This is not an entry level role.
JOB DUTIES:
• Serve as a power user of The Cliffs database business systems including the CRM, Marketing Cloud, DOMO and more.
• Manages and leverages workflows, functionality, and tracking attribution to ensure accurate response data for all inquiries and prospects who have responded from campaigns.
• Serves at the first point of contact for all inbound inquiries. Qualifies interest, manages initial communications with these leads and handles distribution to the appropriate entity.
• Works with sales teams to educate, track data, and ensure follow up occurs. Provides reports to VP of Marketing, Marketing Business Systems Manager and Director of Sales Operations and Director of Sales Administration. • Manages email subscription preferences based on best practices.
• Complete initial fulfillment and nurturing programs for all new leads.
• Oversee fulfillment and nurturing at sales level to confirm consistent with marketing workflow and brand standards.
• Manage inventory of marketing collateral and fulfillment for items identified as part of each customer journey.
• Manage content of all email journeys to ensure accurate and up to date.
• Maintain an understanding of all active marketplace materials developed by the marketing team in order to manage workflow and campaign attribution.
• Collaborate with Marketing to gain understanding of customers; Maintain a knowledgeable understanding of both Real Estate and club sales trends and culture.
• Assist with implementation of new programs, demographics, targets, and reporting for any database systems.
• Support marketing strategy by providing timely analysis of campaign effectiveness and return on investment.
• Process returned mail to ensure accuracy of database.
• Manage BRC account with Post Office and marketing agency for direct mail.
• Manage list uploads and campaign attribution from golf, weddings and other lists acquired by marketing and sales. Advise on nurturing program for these new uploads.
• Supports Marketing Database Systems Manager with reports, segments, assets, clean up and integration as needed.
• Reviews Marchex and call recordings for campaign accuracy and training goals monthly.
• Supports Marketing Database Systems Manager with training new hires for Sales, Weddings, and Marketing on database usage. Creates dashboards for new sales team hires. Builds reports & reassigns departing broker databases, providing reporting when needed.
• Assists Sales, Marketing & Operations teams with Login Issues, and user clarifications.
• Polices sales teams use of materials and copy to ensure all stays on brand as defined by The Cliffs.
• Demonstrates courteous and cooperative behavior when interacting with public, leads and staff; acts in a manner that promotes a harmonious and effective workplace environment.
• Contributes to the efficiency and effectiveness of the sales and marketing teams by offering suggestions and directing or participating as an active member of a team.
• Maintains confidentiality of all clients and property owners in databases.
BACKGROUND/EXPERIENCE:
• College Degree in marketing, business, systems or other related field required
• Three to five years of experience working in a similar position
• Excellent communication skills (oral and written)
• Proficiency in MS Office products to include Word, Excel, Access, and Outlook.
• Working knowledge of Adobe Creative Suite.
• Professional phone skills with excellent customer service • Ability to organize, prioritize, meet deadlines and multi-task
• Ability to work in fast-paced environment
• Familiarity with salesforce.com and preferably experience with Marketing Cloud and Property Base
• Strong technical skills and mindset to leverage database and workflow drive software.
• Ability to deliver high quality work, quickly, in a dynamic organization under pressure
PHYSICAL REQUIREMENTS:
• Constant and close visual work at desk or computer.
• Constant sitting and working at a desk.
• Frequent verbal and written communication with staff and other business associates by telephone, correspondence, or in person.
• Ability to travel on occasion and work outside of normal business hours.
• Must be able to lift objects weighing between 0 and 30 lbs.
• Ability to stand, stoop, bend and lift
• Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, stamina to maintain attention to detail
• Vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone.
• Must be available to travel on occasion to locations for training and/or conferences for future educational development as well as travel to offsite sales & marketing events
