Quote Specialist

Summary/Objective

We are currently seeking a dynamic candidate for the role of Quote Specialist. The Quote Specialist is responsible for providing support to our sales team by preparing quotes. The specialist will work closely with sales representatives, Technical Project Managers, suppliers and PRG’s Crew Services team to ensure timely and accurate pricing information. The ideal candidate will have a strong background in sales support and excellent communication skills, and the ability to work in a fast-paced, deadline-driven environment. This hands-on position is perfect for someone who wants to develop this role by taking ownership, supporting, and driving revenue.

Key Responsibilities

• Review requests for quotes (RFQs) and ensure all necessary information is obtained from the customer.
• Create & deliver accurate and timely quotations for customers, ensuring that all information is
• Interact with vendors to obtain pricing for service support items.
• Manage technical teams for accurate entry of equipment on orders.
• Build labor schedules based on equipment requirements from an event production RFP.
• Ensure that all quotes are compliant with target margins, policies and
• Collaborate with the sales team to ensure that all questions are answered to meet project timelines.
• Support the sales team with administrative tasks, such as data entry and tasks in Salesforce CRM.
• Contribute to the development of new processes and procedures to improve efficiency and
• Ability to prioritize tasks and self-manage daily
• Attend all department and kick off meetings as requested

Knowledge, Skills, and Abilities

• Good knowledge of the function and capability of the entertainment and events industries.   
• Good knowledge of current pricing and advancements in event and entertainment technology and the direction of equipment development. 
• Good knowledge of common computer productivity tools; such as Microsoft Office and Excel;   
• Good persuasion skills; the ability to communicate effectively both orally and in writing;
• Knowledge of the production process for the Meetings and Exhibit industry
• The ability to manage multiple complex projects simultaneously within strict deadlines;
• The ability to learn, use and train other users in PRG proprietary software;  
• Strong communication and interpersonal skills
• Excellent organizational and time-management skills
• Ability to work independently and as part of a team
• Detail-oriented with a high level of accuracy

Travel

• Minimal Travel to select events/meetings

Physical Demands

This is position works primarily in an office environment. The specialist will work business hours assigned, Monday through Friday, but may be required to work additional hours during peak periods or to meet deadlines.

• Must be able to remain in a stationary position for extended periods of time.
• Extensive typing required.
• The employee may occasionally lift and/or move up to 20 pounds.
• Must be able to communicate effectively by listening and in both written and verbal forms.

Required education and experience

• Three or more years working experience in event production or similar related field. 
• Experience in working in a Rental Equipment Asset management system, preferred.
• High School Diploma or equivalent experience required, advanced degree preferred. 
• Experience in a sales support or customer service role
