Quickbooks Bookkeeper/Executive Assistant

Looking for a POWER USER in Quickbooks Desktop Enterprise to perform bookkeeping and accounting tasks. Previous accounting experience at a residential HVAC Service company preferred. College degree preferred.

Looking for someone to assist Owner/CFO with all aspects of running the financial side of the business. Willingness to do all other duties as assigned.

THIS ROLE IS IN THE OFFICE. (NOT REMOTE)

Accounting Tasks:

• Sync invoices from Field Service Management to QB (daily)

Accounts Receivable:

• Apply cash and check payments to open invoices in QB (daily)
• Prepare the bank deposit (daily)
• Match credit card transactions with open invoices in QB (daily)
• Prepare and send account statements to clients (monthly)
• Identify overdue invoices and make collections calls (monthly)

Accounts Payable:

• Enter bills (daily)
• Reconcile 7-Eleven gas account and audit techs' mileage (monthly)
• Prepare Worker's Comp calculations (monthly)

Inventory Management:

• Enter inventory transfers (as needed)
• Complete cycle counts on inventory sites and reconcile in QB (quarterly)

Financial Analysis:

• Prepare job costing reports
• Prepare goal worksheet for Leadership Team
• Reset goal worksheets based on stated budget

HR:

• Prepare weekly payroll in QB
• Assist with preparing job postings, scheduling interviews, recruiting
• Onboard new hires
• Prepare insurance packets for new hires (monthly)
• Send out employee birthday & anniversary cards (monthly)
• Prepare documents for worker's comp and GL insurance audits (annually)

Marketing:

• Submit co-op claims (monthly)
• Able to represent at networking events (as needed)

Pay: From $20.00 per hour
