About the Position

Our growing business is looking for a Purchasing Specialist to assist with the day-to-day procurement activities (creation and submission of POs, follow-up for tracking requests, costing updates, etc.) as well as the entry of customer placed orders in our systems (matching of customer PO to Proposal/BOM/etc.)

Key Responsibilities

  • Verifies purchase requisitions by comparing items requested to master list; clarifying unclear items; seeking and/or recommending alternatives where applicable.
  • Prepares purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from Procurement Manager
  • Obtains purchased items by forwarding orders to suppliers; monitoring and expediting orders.
  • Develop an efficient and accurate system for monitoring all open purchase orders
  • Forwards available inventory items by verifying stock; scheduling delivery.
  • Work with Accounts Payable daily but no less than weekly to insure that all drop ships are received in system and accurately PCPS’d across corresponding Projects
  • Work with the Procurement Manager and team to ensure that all deliveries satisfy the assigned purchase orders and report any back-ordered or missing products
  • Assist the Procurement Manager with maintaining proper inventory levels of materials used on a regular basis
  • Establish reliable lines of contact with Project Management team to ensure that all field purchase orders are accurate
  • Updates job knowledge by participating in educational opportunities.
  • Accomplishes purchasing and organization mission by completing related results as needed. Receive Customer order from Sales team
  • Match Customer PO/Executed Proposal to Engineering Bill of Materials
  • Compile daily Order Entry task information and establish entry priorities
  • Perform accurate and timely completion of tasks assigned by inputting into relevant systems or escalating to management within the company agreed upon interdepartmental SLA (24 hours)
  • Ensure that newly created Project matches what was sold, escalating to management of any discrepancies prior to order entry
  • Review and verify entered data for deficiencies or errors, correct errors, and check all output for accuracy
  • Communicate updates through to completion, as necessary, to Sales/Ops personnel
  • Assist with maintaining efficient operations by following policies and procedures and report needed changes
  • Generate basic daily, weekly, and monthly reporting
  • Other related duties as requested by management
