Purchasing / DME Coordinator

Location: Geneva-North/South, Elgin-Lin Lor and Elgin-Royal (must be willing to travel to all site locations)

Full-Time: Full-time (36-40 hours per week)

Days/Hours: Days and hours vary (includes evenings and rotating weekends)

Summary

Responsible for purchasing materials, products and supplies for the organization, following through with purchases from order placement to fulfillment. Also responsible for receiving, unloading/unpacking and stocking materials, products and supplies. Provide administrative and clinical assistance, including maintaining Durable Medical Equipment (DME) Program and fitting DME for patient population.

Essential Duties and Responsibilities

The essential duties and responsibilities include the following. Other duties may be assigned.

  • Generate and/or approve purchase orders for materials, products and supplies for the organization.
  • Place purchase orders with vendors and follow orders from placement to fulfillment.
  • Review purchase order acknowledgments to ensure accuracy.
  • Notify vendors of discrepancies.
  • Receive delivered materials and route them to the appropriate location.
  • Reconcile packing slips with purchase orders ensuring accuracy. Identify and resolve discrepancies timely.
  • Prepare voucher after the vendor invoice has been matched with the purchase order and packing slip identifying the general ledger account number and location to be charged.
  • Monitor stock expiration dates regularly.
  • Collect departmental inventory replenishment requests and charge sheets and enter data into computer system.
  • Maintain organized stockroom shelves.
  • Maintain DME inventory.
  • Communicate with Physicians/PAs and clinics regarding DME products.
  • Properly fit DME products for patients.
  • Maintain lab supply inventory.
  • Maintain accurate records in the DME system.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience

Required:

  • Bachelor’s degree in Athletic Training or related field.
  • High school diploma or equivalent.
  • Minimum of one (1) year of work experience in material/inventory management.
  • Ability to work independently on assigned tasks.
  • CPR/AED Certification
  • Certified Medical Assistant (AAMA) OR Athletic Trainer Certified (NATA)

Preferred:

  • Undergraduate degree or certification in logistics or supply chain, or in a related and/or equivalent field.
  • Familiarity and/or experience with MRP or ERP systems.
  • Previous work experience in a healthcare environment.
  • Two (2) plus years working in a DME clinic
  • Registered Orthopedic Tech or Certified Orthopedic Tech.
