Independence Plus is expanding in all our service areas and has an immediate opening for a Purchasing Coordinator to work out of our Oak Brook, IL (DuPage County) office.
JOB DESCRIPTION SUMMARY
The Purchasing Coordinator works under the direction of the Warehouse Manager in the procurement of all equipment and supplies, process drop ship orders (e.g., Promed, McKesson), process receiving of incoming orders including drop ship receiving and paperwork, identify suppliers, and assist the Warehouse Manager in addressing the daily demands to ensure that needed purchases arrive timely and at a price that supports the Company’s objectives.
- Process daily drop ship paperwork including creation of, review, and updates to Purchase Requests for drop ship and requests to process shipments from other vendors to insure timely delivery and competitive pricing from alternate sites
- Print receiving documentation from drop ship orders, matching to sales orders, identifying any backorders or other errors including entries in Brightree and submitting to QA and AP for processing
- Identify routine vendors for ordering and alternate source vendors when obtaining products and assist Warehouse Manager in tracking and identifying new product requests
- Create new product Item IDs in Brightree – including product units of measure (UOM), adding Multipliers, HCPCS coding, Billing UOMs, and basic understanding of the price tables.
- Participate in physical inventories as required
- Work with Patient Services and Warehouse Personnel to promote smooth operations with new products, backorders, shipping modalities, etc.
- Assist with Brightree database management to update price increases, recall tracking, location transfers, billing confirmation issues, vendor updates, etc.
- Assist in ensuring proper function, processing RA requests, maintaining equipment, monitoring of back orders, and pulling supplies for deliveries as needed
- Promote Independence Plus as a high-quality company with home health, home nursing, and respiratory / HME services
- Comply with agency, state, federal, and CHAP policies and procedures
- Perform other job-related duties as assigned
- Basic product knowledge and/or experience in the medical equipment industry
- High school diploma, experience or college preferred
- Ability to review and analyze product data in daily operations
- Strong interpersonal, analytic, mathematical, and problem-solving skills
- Highly organized with the ability to multi-task and prioritize in an ever-changing, fast paced environment
- Familiarity with Microsoft Office software (Excel, MS Word, Outlook) and Brightree a plus
- Commitment to following all Policies and Procedures of IPI, as well as State, Federal, and CHAP guidelines, and including the utilization of Universal/Standard Precautions and Confidentiality
ENVIRONMENTAL AND WORKING CONDITIONS
- Frequently lifts up to 50 pounds and occasionally lifts up to 65 pounds
