ROLE AND RESPONSIBILITIES
Responsible for the administration support related to purchasing, material procurement, logistics and accounting. This position works directly with a variety of individuals at our prefab manufacturing facility, including Purchasing, Logistics, Production, Operations and Warehouse teams.
- Assists Purchasing with functions such as ordering materials, tracking, and expediting shipments. Communicates accordingly with Purchasing, Production and Operations teams to take appropriate action based on product availability, production deadlines, pricing, etc. Communicates proactively to address and solve issues as they arise.
- Assists Purchasing with generating new purchase order and subcontract documents and additional change orders.
- Performs data entry and tracks documents in various internal software tools as it relates to the job functions listed above.
- Supports setting up new vendors and updates vendor files.
- Completes tax exempt certificates to vendors and maintains internal filing system.
- Manage disadvantaged business certificates and status changes.
- Adheres to purchasing policies, processes, and procedures.
- Assists Accounting with project-specific invoice reconciliation. Works with our vendor partners to make sure all invoices have been received, sends in to accounts payable for processing and lets accounting know when the project is ready to be billed.
- Supports Logistics Specialist in coordination and scheduling of logistics services. Plans accordingly with Hunt Drivers or third-party services as appropriate to take most cost-effective avenue. Communicates with Production Manager, Shop Foreman and Warehouse teams to execute plan.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- High school diploma or equivalent required.
- Excellent customer service skills.
- Strong organizational skills.
- Intermediate proficiency in MS Word, Excel and Outlook.
- Ability to communicate clearly in verbal and written form.
- Adaptable to changing priorities and demonstrates a flexible and collaborative work style.
- Demonstrated success in working with immediate team members and other departments to build effective relationships.
- 3 years of experience or education in vendor relations, purchasing, or a related field preferred.
- Knowledge of electrical industry, equipment, supplies and materials preferred.
- Negotiation skills or experience preferred.
PHYSICAL REQUIREMENTS
- This job operates in a professional office environment.
- This role routinely uses standard office equipment such as computers, phones, filing cabinets, scanners and fax machines.
- Employees are frequently required to sit, and occasionally required to kneel, reach, stoop, crouch or crawl.
- This position requires the ability to lift files, open file cabinets, and bend or stand as necessary.
- This position may occasionally lift up to 10 pounds.
