We are currently seeking a detail-oriented and motivated individual to join our team in the role of Purchasing Assistant. The ideal candidate will play a crucial role in supporting the procurement team in various tasks related to purchasing and supply chain management. The Purchasing Assistant will report directly to the Procurement Manager.
Responsibilities:
Order Processing:
· Assist in processing purchase orders and ensuring accuracy in documentation.
· Collaborate with vendors to confirm order details, lead times, and delivery schedules.
· Track and monitor order status to ensure timely deliveries.
· Request proforma invoices as needed and file appropriately.
· Responsible for managing and purchasing consumable inventory for all facilities.
Vendor Communication:
· Maintain positive relationships with vendors and address inquiries and discrepancies.
· Engage with vendors to discuss pricing, delivery schedules or address any supplier related concerns.
Data Entry and Record Keeping:
· Maintain accurate records of goods ordered and received.
· Assist in maintaining inventory level and updating databases with relevant information.
· Ensure accuracy of data specific to material lead times, pricing, and vendor information.
Logistics Coordination:
· Choose suitable carriers and transportation providers to ensure timely and cost-efficient inbound freight.
· Work with freight forwarders as needed for customs clearance.
· Manage transportation costs by consolidating shipments when possible and minimizing accessorial charges.
· Track shipments in real-time, communicate with transportation providers for updates and notify relevant parties of any delays or issues.
· Coordinate with the warehouse team to ensure timely delivery and receipt of materials.
· Resolve issues like damaged goods or delivery delays by collaborating with carriers and stakeholders for solutions.
Support Strategic Sourcing:
· Assist in researching potential suppliers and gathering information for supplier evaluation as needed.
· Collaborate with procurement team to identify cost-saving opportunities.
· Provide information to support strategic procurement decisions.
Procurement Support:
· Provide administrative support to the procurement team, including filing, document preparation, and general office tasks.
· Assist in preparing reports related to purchasing activities.
· Liaise with internal stakeholders, such as the accounting department and operations, to ensure coordination and alignment with procurement activities.
Qualifications:
· Previous experience in a purchasing or administrative role is preferred.
· Strong organizational and multitasking skills.
· Excellent communication skills with the ability to interact professionally with vendors and team members.
· Detail-oriented with a focus on accuracy in data entry and record keeping.
· Proficient in Microsoft Office Suite, especially Excel.
· Ability to work collaboratively in a team environment.
· Eagerness to learn and adapt to new challenges in a fast-paced work environment.
Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
