Job Title: Purchasing & Product Admin
Job Summary:
The Purchasing and Product Admin is a highly organized and detail-oriented person. Responsible for scheduling and coordinating deliveries, accounts receivable (AR), collections, ordering and maintaining product and stock, upkeeping of the facilities you use, your desk area, the library, closets and the prop house. You are required to be very detail oriented and have excellent communication and customer service skills.
Key Responsibilities:
- Responsible for accurately tracking your time, reviewing and submitting for billing and payroll purposes.
- Pricing, approval management, ordering, and delivery management for client products.
- Coordinate and maintain as well as manage product installation, the Prop house and Warehouse.
- Maintenance of stock in the inventory system.
- Returns and logistics management
- Manage Accounts Receivable processes, including generating invoices, processing payments, and reconciling accounts.
- Follow up with customers on overdue accounts and coordinate collections activities.
- Coordinate the upkeep of the facilities, including ensuring cleanliness.
- Customer Service.
- Assist lead stylist on client installs.
- Assist the lead stylist in product and service fulfilment.
- Monitor and manage the department’s Credit card usage, manage dispute process and perform reconciliation
- Perform other tasks as assigned by your manager
Qualifications:
- High school diploma or equivalent required.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Administrative office experience a plus.
- Excellent communication skills, both written and verbal, with the ability to interact with customers, vendors, and colleagues in a professional manner.
- Proficiency in Microsoft Office. Experience with inventory and or accounting software, such as QuickBooks or Sage a big plus.
- Ability to maintain confidentiality and handle sensitive information with discretion.
