Purchasing Agent

Utilizing Reid’s Mission, Vision, and Values in all interactions with customers, the Purchasing Agent has responsibility for all procurement functions related to supplies and equipment required for hospital operations. Works throughout the day with suppliers to resolve any issues that may lead to disruption in hospital operations and patient care. The Purchasing Agent is responsible to effectively & efficiently review all Purchasing activities and reports for assigned departments and ensure all customer needs are met timely and cost effectively.

1. Sourcing of products to identify the best value for their departments, and favorable terms for the hospital. Makes adjustments to requested items as appropriate to increase supplier contract compliance.

2. Makes use of the Vizient online contract catalog and Lawson vendor contract files to evaluate customer requests. Maintains familiarity with changing supplier contracts to maximize compliance and savings opportunity.

3. Negotiates cost of supplies with suppliers to avoid cost increases. Achieves discounted pricing for bulk quantity purchases. Negotiates freight cost and other favorable terms with suppliers to reduce cost whenever possible to meet fiscal operational goals.

4. Uses critical thinking to determine solutions to customer problems. Researches supply and equipment options to meet unique customer needs.

5. Handles high volumes of customer and supplier phone calls and email. Manages time well while working through frequent interruptions to meet all customer needs.

6. Ensures prudent Purchasing practices by obtaining accurate information for placement of orders, to include, but not limited to, cost, UOM, quantity, delivery date & location, shipment method & cost, contact name & phone number, etc.

7. Process items for return to vendor, places orders for replacement of goods, and verify that return shipment has been made and that appropriate credit has been received for returned goods. Prepares, inputs, processes, and tracks ‘vendor return’ documents and shipments being returned to vendor including updating of computerized return log for audit purposes.

8. Maintains a clean work queue, continually working unreleased requisitions and PO’s, resolves invoice discrepancies, and works closely with Accounting to help ensure timely payment for goods/services received.

9. Performs all responsibilities of other Purchasing Agents in their absence.

10. Exhibits professional demeanor in screening and directing supplier representatives and visitors to appropriate departments.

11. Responsible for working with their assigned departments to coordinate and assist in the introduction of new products into the facility as appropriate. Participate in the value analysis process as necessary to include research and cost benefit analysis completion and presentation.

Education Required: High School Diploma.

Education Preferred: College degree in a business related field.

Experience Required: One year of healthcare or Supply Chain/Purchasing experience.

Experience Preferred: Two years of healthcare purchasing experience.
