PROPOSAL ADMINISTRATOR
Environmental Research Group, LLC (ERG) and AmaTerra, ERG Texas Services. Founded in 2000, ERG is an environmental consulting small business providing National Environmental Policy Act (NEPA), Cultural Resources, Natural Resources, Compliance, Restoration, and Geographical Information Systems (GIS) services to federal, state, local/municipal, and commercial clients across the United States. JOB DESCRIPTION
The successful candidate will serve as ERG's Proposal Administrator to support company-wide environmental programs in proposal administration, tracking, coordination, and development. ERG's Proposal Administrator will correspond with discipline specialists to coordinate elements of both small- and large-scale proposal efforts including certifications, technical information, and cost estimates. The successful candidate must have a positive, highly responsive attitude with strong organizational skills and attention to detail; and the ability to work with all levels of management and technical staff in a fast-paced environment.
ERG's Proposal Administrator will promptly fulfill proposal inquiries and will support the creation and preparation of company proposals by multiple parties across the firm, ensuring timeliness and accuracy. Their responsibilities will revolve around receiving and connecting information from multiple sources, coordinating tasks with various technical experts, and supporting proposal startup and timelines within SharePoint and Teams. ERG's Proposal Administrator will work under the direction of ERG's Proposal Manager out of ERG's Austin, Texas office.
Representative tasks may include, but are not limited, to the following:
  • Gather and provide materials for "Rapid Data Calls" which are client-requested incidental documentation such as project experience information, certifications, and other materials in a timely, professional manner to appropriate ERG manager.
  • Assist with coordinating elements of requests for proposals (RFPs), requests for information (RFIs) and requests for quotes (RFQs) with ERG's technical team in accordance with established timelines.
  • Assist with coordinating and contributing to final proposal production, including desktop publishing, proofreading, editing, printing, and binding.
  • Coordinate and review resumes and project descriptions.
  • Assist with reviewing and extracting of all needed information from RFQ or RFI and disseminate their requirements to Subject Matter Experts.
  • Attend internal and external proposal kickoff and informational meetings.
  • Follow the guidance and direction of ERG's Proposal Manager to ensure the timely completion of high-quality deliverables.

The ideal candidate should have experience with state (Department of Transportation, Historic Preservation, Wildlife Management and Parks, Permitting, etc.) agencies as well as regional and local governments, public infrastructure and utilities, and others. Additional experience with federal agencies (e.g., Department of Defense, Homeland Security, Fish and Wildlife Service, National Park Service, etc.) is preferred, but not required.
QUALIFICATIONS
  • Experience with TxDOT (including pre-certifications) opportunity response and communication protocols and similar experience with Oklahoma DOT, and other state Departments of Transportation strongly preferred.
  • Demonstrated project experience and/or extensive knowledge of environmental and cultural resources industry.
  • Highly organized and detail-oriented, with the ability to connect and understand complex information within a network of rapid activity.
  • Strong communication skills in physical and virtual settings.
  • Strong work ethic, self-motivated, and the ability to follow direction and work independently, as appropriate.
  • Must have the ability to deal effectively with a wide variety of industry, government, and public contracts on project-related matters.
  • Proficient with MS Windows OS and Office software including Word, Excel, PowerPoint, Outlook, SharePoint, and Teams.
  • Experience with Adobe InDesign and document production preferred.
  • Experience with Department of Defense technical and contracting agencies preferred, but not required.

Salary: Up to $70,000/year, depending on experience
