POSITION: Receptionist
DIVISION: Property Management
REPORTS TO: Director of Property Management
CLASSIFICATION: Nonexempt
PRIMARY FUNCTIONUnder the direct supervision of the Director of Property Management, the receptionist is responsible for handling reception and office support duties, including answering and directing phone calls, processing mail, directing visitors and deliveries, working with vendors, and providing administrative support as needed.
DESCRIPTION OF DUTIES- Perform general reception duties, including answering phones, resident and public contacts, deliveries, mail, and walk-in traffic.
- Greet and direct vendors, customers, clients, job applicants, and other visitors, and arrange transportation services when needed.
- Receive and relay all incoming calls, take messages, and facilitate internal and external agency communications.
- Provide administrative/clerical support to Operations, Executive, and program staff, including typing, filing, mailings, deliveries, and meeting preparations.
- Assist the maintenance supervisor and office staff with office equipment and supplies, including copier, fax machine, supplies and inventory maintenance, postage meter, assembling mailings, processing outgoing mail, and processing work orders.
- Schedule Conference and Counseling Room sessions
- Pick up and sort mail and handle outgoing mail.
- Maintain front desk procedures and assist administratively in special projects.
- Other duties as assigned.
- High school graduate or G.E.D. Certificate
- Must have at least 2 years of experience in a Property Management administrative office environment, including competency in basic office skills such as word processing and familiarity with office equipment.
- Knowledge of Windows PC computer systems and computer literacy, including experience with Word, Excel, and local area networks (LANS)
- Excellent phone and personal communication skills for dealing with clients, staff, the Board, and the public in a professional manner.
- Must be a team player, organized, and able to work well with interruptions.
