Property Management Office Assistant

North Oak Real Estate Inv., Inc., a Property Management Company, is seeking Office Assistant for the following role:

HR Assistant

• Respond to phone calls & email inquiries
• Assist with payable tasks (including printing check registers and rewriting checks)
• Prepare journal entries for loans
• Around the 4th of each month, input journal entries for loans and insurances
• Prepare payroll & accounting reimbursements
• Conduct monthly audits on property insurance (this includes receiving, scanning, uploading to AppFolio, and coding bills) - this is done on the 21st of each month
• Manage towing agreements for both existing and new properties
• Establish “clean & show” utility accounts for vacant properties
• Close out accounts (utilities/vendors) when properties are no longer under our management
• Code insurance bills
• Update property information on AppFolio
• As a backup, obtain building plans and parking maps from field supervisors and managers, finalize them, and upload to AppFolio
• On the 1st of each month, request certification of hours worked and daily report. Review and submit any overtime hours by the 6th of each month.

Qualifications and Skills

• Fluency in English & Spanish
• No experience required, training will be provided

Work Schedule

• Hybrid work schedule available. Each department is required to be physically present in the office at least twice a week, subject to adjustment based on business requirements.
• Mandatory in-person training at the office for the first 90 days of employment.
• 8-hour shift, 40 hours per week, Monday to Friday

Job Type: Full-time

Pay: $18.50 - $20.00 per hour, depending on experience
