This is a remote position and can be based anywhere within the U.S.

 

JOB SUMMARY

Leveraging a collaborative approach to accomplishing deliverables, the Project Portfolio Manager serves a critical role on a high performing, fast-paced team within the Office of the CEO. The Project Portfolio Manager is responsible for developing and implementing Project Portfolio management processes; guiding and tracking the life cycle of uniquely different projects from project approval through implementation; and evaluation of all project deliverables. Following standard project management methodology, the Project Portfolio Manager provides overall support and coordination, including project and process management, information management, reporting, and planning. This position reports to the Chief of Staff who guides the work of this job as needed.

 

MAJOR RESPONSIBILITIES

  • Assists the Chief of Staff and executive communications team in maintaining Project Portfolio, by tracking and reporting on projects; coordinating and distributing communications; preparing, editing, and submitting timely reports and meeting notes as requested; scheduling, coordinating, and preparing materials for meetings, conference calls, video teleconferences, as needed.
  • Conducts project kick-off meeting defining roles/responsibilities, relationships with other groups, deliverables, timelines, assignments, and status reporting.
  • Reviews and provides feedback designed to enhance clarity and conciseness of cases for support, project charters, presentations, and other materials to utilized by the CEO.
  • Collaborates cross-functionally with Pillar/Department Chiefs of Staffs or Leads to ensure adherence to project timelines/milestones.
  • Represents the project at meetings and in group discussions as requested.
  • Monitors the project budget and schedule.
  • Provides project status reports by utilizing project management tracking and documentation processes.
  • Assists in preparing and evaluating project progress reports and workload analysis via a dashboard.
  • Facilitates project retrospective review meetings and documents lessons learned.
  • May perform specialized project activities in direct support of the accomplishment of the project objectives and protocol.
  • Maintains Salesforce records, ensuring timely and accurate data entry of activities performed by the CEO.
  • Works at the minimal supervision of the Chief of Staff, as well as the occasional direction from the CEO.
  • Performs other duties as assigned.

Position Requirements

FORMAL KNOWLEDGE

  • Bachelor’s Degree required.
  • 3 to 5 years of experience that is directly related to the duties and responsibilities specified.
  • PMIs current Project Management Professional (PMP) certification or Six Sigma Certification preferred.

OTHER SKILLS

  • Proficiency in Microsoft Office suite
  • Experience effectively interacting with executive and senior management.
  • Must be a highly motivated initiative-taker: high initiative and follow-through.
  • Strong teamwork, communication, and people skills
  • Ability to work effectively with a wide range of constituencies in diverse communities.
  • Ability to work in an extremely fast-paced environment, work effectively under deadlines, and work with multiple teams on multiple projects (planned and unplanned) simultaneously.
  • Comfortable working in a matrix business environment.
  • Knowledge of Project Management principles, methods, and techniques.
  • Storytelling and proficiency in Microsoft tools.
  • Strong organizational skills and records maintenance skills.
  • Ability to coordinate and organize projects and/or special events (i.e., initiative launches, conferences, etc.)
  • Ability to gather and analyze statistical data and generate reports.
  • Advanced writing and editorial skills.
  • Skill in organizing resources and establishing priorities.
  • Persistent attention to detail
  • Ability to make administrative/procedural decisions and judgments.

SPECIAL MENTAL OR PHYSICAL DEMANDS:

  • Work is generally performed in a typical interior/office work environment.
  • No or very limited physical effort required.
  • May be required to respond to urgent needs after-hours or weekends.
  • Occasional travel required to support CEO on an as-needed basis.

 The starting rate is $89,000 - $105,000. The final candidate's relevant experience/skills will be considered before an offer is extended. Actual starting pay will vary based on non-discriminatory factors including, but not limited to, geographic location, experience, skills, specialty, and education.
