Project Manager, NEH Humanities Collections & Reference Resources Grant
OVERVIEW: The Project Manager is responsible for implementing the final stage of an NEH grant funded project, Digitizing, Preserving, and Providing Access to the Seattle Art Museum’s Historic Video Collection. The SAM Libraries’ Historic Video Collection is located in the Dorothy Stimson Bullitt Library at the Seattle Art Museum’s (SAM) downtown location. It contains approximately 3,500 physical and digital video assets produced by, about, or related to SAM. This is an ongoing project to digitize, preserve, and develop long-term storage of the assets. The final stage of the project will focus on providing access to these historical materials in their digital forms. This includes public access via the museum website, on-site research through the collection’s dedicated Internal Research Portal, and through in-person public screening events. In addition, the Project Manager is expected to act as the administrator for the Research Portal and to maintain archival records of the collection. This position requires familiarity with legacy video formats, digital storage infrastructure, digital video editing, and an awareness of copyright issues and digital preservation standards. In addition, the Project Manager must possess the ability to work successfully with cross-departmental groups and vendors to achieve the grant outcomes. This is a one-year temporary full-time position.

REPORTS TO:     Librarian
COMPENSATION:     $50,000; Full Time
BENEFITS: Full time employees are covered by medical, dental, vision, basic life insurance/LTD/AD&D. Employees are able to enroll in our company’s 403b plan. Employees will also receive ten days of sick leave and ten days of vacation leave every year, twelve paid holidays and one floating holiday throughout the calendar year. Additional benefits include subsidized transportation (ORCA business passport), access to fitness facility, and museum membership.
ESSENTIAL FUNCTIONS:
  1. Collaborate with the SAM Website Advisory Committee to showcase materials on the museum website, including selection and curation of videos appropriate for public access.
  2. Work with SAM legal team and Fair Use specialist to develop a Fair Use program for materials to be shared publicly.
  3. Work with SAM IT team and outside DAMS developer to maintain digital storage and project-specific DAMS/Research Portal.
  4. Act as the administrator for the DAMS/Research Portal, including creating and maintaining user profiles.
  5. Promote and publicize collection, including coordinating screenings of select materials at SAM and other venues.
  6. Utilizing digital video editing software (Adobe Premiere Pro) to edit video for public presentation (either for the web or for screening events).
  7. Maintain metadata standards for the collection and update controlled vocabularies as necessary.
  8. Handle research requests that are directly related to the Historic Media Collection.
  9. Transcode optical disk formats and ingest and catalogue preservation, master, and access copies into designated storage systems.
  10. Maintain and update all documentation of workflows and policies as needed.
QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
  1. MLIS, MSIM or equivalent combination of education/experience required.
  2. Familiarity with A/V formats and digitization techniques required.
  3. Experience successfully organizing and managing large amounts of information.
  4. A demonstrated passion for A/V digitization and preservation desired.
  5. Experience creating and implementing metadata schemas desired.
  6. Experience working with DAM systems desired.
  7. Experience using Adobe Premiere desired.
  8. Experience creating, implementing, and/or utilizing thesauri or controlled vocabularies desired.
  9. Ability to work in both PC and Mac environments.
  10. Ability to work with and manage relationships with outside vendors and experts.
  11. Ability to work successfully with multiple staff members to create online portal, marketing initiatives, and organize screening events.
  12. Excellent written and oral communication skills; able to communicate effectively and project a professional image when giving and taking information in writing, in person, and over the phone.
  13. Demonstrated expertise and proficiency with Microsoft Office tools (Word, Access, Excel, PowerPoint, Outlook) and the internet.   
  14. Able to work independently and in a team setting; ability to self-motivate.
  15. Ability to maintain confidentiality of sensitive information.
  16. Able to take initiative, prioritize tasks and meet deadlines.
  17. Excellent time-management, problem-solving, and problem-prevention skills.  
  18. Ability to work accurately with close attention to detail.
  19. Ability to work with co-workers, vendors, and volunteers professionally and tactfully.
  20. Ability to adhere to Museum policies and to support management decisions in a positive, professional manner.
WORKING CONDITIONS:
  1. Work areas are inside, in a climate-controlled environment with light to moderate background noise.
PHYSICAL ACTIVITIES REQUIRED TO PERFORM ESSENTIAL FUNCTIONS:
  1. Sitting/Standing/Walking:  Approximately 80% of time is spent working at a desk.  Balance of time (approximately 20%) is spent moving around work areas.
  2. Speaking/Hearing:  Ability to effectively communicate with co-workers, visitors and outside agencies, by telephone and in person.
  3. Vision:  Ability to effectively use a computer screen and interpret printed materials, memos and other appropriate paperwork.
  4. Lifting/Carrying/Pushing/Pulling:  The ability to lift and carry up to twenty (20) pounds is necessary for working with a collection of 3,500 physical assets. This may include transporting physical formats to and from vendors. Moving physical assets within the Bullitt Library will also be essential.
  5. Stooping/Kneeling:  Ability to access files/stock supplies in low cabinets and shelves.
  6. Reaching/Handling:  Ability to input information into computer systems, retrieve and work with appropriate paperwork, equipment and supplies.
