YOU
As Project Manager, you will be a valuable member of our Communications Team in Marketing. This role is primarily focused on managing and coordinating various Marketing Communications projects from inception to delivery. You will be the central point of contact for project requests, ensuring seamless communication and collaboration among team members and stakeholders. Additionally, you will contribute to the overall success of the Marketing department by supporting multi-channel initiatives, ensuring proactive communication and consistency across all projects, as well as managing workflows, approvals and deadlines. Within Marketing Communication, you'll support our content, social media/PR, internal communications, and video teams. You have excellent project management, communication, writing, customer service and problem-solving skills. You are a strategic thinker, adept at managing multiple projects, detail-oriented, and passionate about driving successful marketing communication initiatives.
WHAT YOU'LL BE DOING (% of Time)
Manage the workflow for video projects. Manage video kick-off meetings, creative briefs and timelines in collaboration with Product Marketing Managers and stakeholders. Support pre-production with scheduling and logistics. Help organize footage for editing and manage creative asset file systems. Manage video vendor and talent paperwork, Statements of Work (SOWs), and invoicing. (35%)
Manage and track projects. Utilize project management software and processes to plan, track, and communicate progress of projects with team members and stakeholders. Build and maintain a comprehensive Communication dashboard for accurate project tracking and reporting. Develop campaign/promotion maps, project timelines, and workflows. Implement and manage project approval processes, including scheduling internal review sessions and client presentation meetings. Ensure plans and timelines are kept up to date and communicated and key milestones and deadlines are met. Provide information and progress reports to stakeholders. Monitor and manage the budget for marketing communication projects, ensuring that expenses align with budget. (30%)
Be the primary contact for the Marketing Communications team and all incoming projects. As an interface between the MarCom Team and other internal stakeholders, clarify the objectives and expectations of each project. Determine realistic timeframes and measures of success required for each project based on strategic goals and objectives. (15%)
Schedule and lead team meetings. Organize meetings as needed for projects or teams, in both one-off and ongoing schedules, as needed to discuss progress, address challenges, and ensure that all team members are aligned. Set and maintain agendas and attendee lists. (10%)
Continually review and refine processes for project management across the Marketing department. Work with Marketing directors, managers, and Project Managers to improve processes and tools with an aim to improve the ways in which the department initiates, tracks, and completes projects. (10%)
DESIRED SKILLS AND EXPERIENCE

  • Undergraduate degree in marketing, communications, project management, or relevant field (or equivalent work experience)
  • 3-5 years of experience in project management, preferably in Communications or Marketing
  • Project Management Professional (PMP)® Certification preferred
  • Experience in video production and content creation is a plus
  • Project Management: Ability to manage multiple projects and competing priorities. Ability to set priorities, goals, and timetables to achieve maximum productivity. Ability to display a high level of initiative, effort and commitment toward completing projects in a timely manner.
  • Communication: Excellent written and verbal communication skills. Ability to effectively present information in one-on-one and group situations.
  • Listening: Possesses strong listening and response skills, including the ability to ask clarifying questions to prompt more detailed information.
  • Decision Making & Judgment: Ability to find solutions acceptable to diverse groups with conflicting interests and needs. Ability to balance analysis, wisdom, experience, and perspective when making decisions.
  • Self-Management: Ability to display a high level of initiative, effort, and commitment towards completing assignments in a timely manner. Ability to manage multiple tasks and project deadlines.
  • Collaboration: Demonstrate seamless collaboration with cross-functional teams to enhance communication and innovation and achieve collective goals.
  • Adaptability and Flexibility: Ability to think and act effectively under pressure. Ability to adjust strategy or approach in response to the demands of a situation. Ability to adjust timelines, results and expectations appropriately to changing needs.
  • Attention to Detail: Ability to achieve thoroughness and accuracy when accomplishing a task. Ability to diligently attend to details and pursue quality in accomplishing tasks.
  • Creative and Innovative Thinking: Ability to contribute original and resourceful ideas. Ability to try new approaches when problem solving or seeking ideas.
  • Computer Skills: Experience or understanding of Smartsheet or other project management systems is required. Familiarity with content management systems such as WordPress is a plus. Must possess intermediate skills in the use of Microsoft Office (Outlook, Word, Excel, PowerPoint) and Microsoft Teams.

This job operates in a professional office environment where standard office equipment such as computers, phones, printers/scanners, etc. are frequently used.
Travel
This position requires domestic travel up to 5% of the time.
Work Status & Location
This full-time, exempt position is located in Pleasanton, CA. Open to remote.
Relocation
Relocation is not available for this position.
Pay
$80300 - $104400 / year
Posted pay range is based upon national average and may vary depending on geographical work location.
