PURPOSE OF THE ROLE:
The Project Coordinator is an instrumental role in the execution of client services and is a critical part of each team. By managing resources and information and assisting with scheduling and planning, this role monitors progress toward achieving project goals. The Project Coordinator provides support to their assigned service line(s) and serves as the primary point of contact for internal and external constituencies.
The Project Coordinator plans, prioritizes, and organizes a diversified workload while continually providing outstanding support and coordination to our growing organization. The ideal individual will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
The Project Coordinator also serves as a liaison between the service line leader, the service line staff and firm leadership; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
The expectation of the Project Coordinator is to add value to the service line by building upon their existing administrative skillset, anticipating stakeholder needs and introducing tools and solutions that streamline project execution.
KEY RESPONSIBILITIES OF THE ROLE:
- Complete a broad variety of administrative tasks including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agenda
- Providing operational support in physician office locations.
- Carry out tasks as assigned by Managers.
- Successfully complete critical aspects of deliverables with a hands-on approach, including drafting letters, proposals, reports and correspondence.
- Maintain and monitor project plans, project schedules, work hours, budgets, and expenditures to ensure accurate and timely project outcomes.
- Organize, attend, and participate in internal and client project meetings. Where appropriate, distribute notes/minutes to all project team members.
- Ensure client needs are managed towards the best solution.
- Prepare necessary presentation materials for meetings and document/following up on important actions and decisions from meetings.
- Undertake project tasks, as required.
- Ensure projects adhere to frameworks and all documentation is maintained appropriately.
- Create a project management calendar for fulfilling each goal and objective.
- Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
- Work closely and effectively with service line leader to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
- Prioritize conflicting needs, handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.

QUALIFICATIONS AND REQUIREMENTS:
- Bachelor’s degree or comparable work experience within healthcare administration and/or technology
- One to two years’ experience working with electronic medical record systems, such as athenahealth, EPIC, etc.
- One to two years of project management experience is preferred.
- Strong work tenure with favorable references from direct reports.
- Proficiency with Microsoft Office Suite required.
- Familiarity with NetSuite or similar ERP preferred
- Organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Availability for in-office attendance as specified by company and/or team expectations.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Ability to interact and function as part of a team to foster smooth efficient processing of workflow.
- Ability to stay proactive within the team handling high profile growth and development related projects.

- Availability to occasionally work beyond scheduled hours to perform the essential duties of the position, as needed.
Job Type: Full-time
Pay: $55,000.00 - $60,000.00 per year
