Job Summary:

Akima Infrastructure Services is hiring a Project Coordinator to support in Oak Ridge, TN. To join our team of outstanding professionals, apply today!

Job Responsibilities:

  • Provides coordination across multiple DOE Staffing programs.

  • Identify and report risk areas and partner with leadership on strategies to address concerns.

  •   Supervises on-site Administrative Personnel.

  •  Assist PMs with coordinating, reviewing, and resolving personnel actions for employees.

  •  Conduct staffing operations by developing staffing plans, coordinating actions with Recruiting and Human Resources, and Project Financial Controllers.

  •  Manage information using Microsoft SharePoint and One Drive applications.  Create, organize, and securely store documents, files, and other content to facilitate collaboration and communication among managers and supporting staff. 

  •  Manage a master operations schedule that tracks contract deliverable items, report submissions, expiring clearances, and other program requirements.  As member of the management team, coordinate events, submissions, and contract schedule requirements.   Situational anticipation to prevent, inform and prepare for potential problems such as scheduling, time constraints and equipment needs.

  • Review and reconcile documentation in electronic and/or hard copy format.

  •  Exercise discretion while handling all matters.

  •  Facilitate high-level communication and coordination between Akima Infrastructure Services Management, Program Management, Site leadership, Partners, Suppliers, Subcontractors, and Government Program Offices.

  • Act as a liaison to assure clear, effective, and thorough follow-up, by documenting outcomes and task resulting from meetings and conversations.  

  • Coordinate inputs to prepare reports for management submission both intracompany, corporate and government entities as necessary.   

  • Review and analyze labor hour data.  Identify and resolve discrepancies between customer and internal records.

  • Analyze workflow processes relative to contractual and internal requirements.  Identify best practices, develop solutions by designing and implementing improved methods and tools that enhance operations. 

Minimum Qualifications: 

  • Must be a US Citizen with the ability to pass a comprehensive background check with favorable results. 

  • Minimum Education and Licensure:  bachelor's degree or an associate with four years of relevant work experience.

  • Must be able to travel on short notice to support contact transition operations at new sites.  Expected trip frequency is two trips per year up to 10 days per trip.

  •  Minimum two years project and administrative experience in an office environment.

  • Driver's license and ability to rent vehicles.

  •   Fundamental knowledge of the Department of Energy and the department's utilization of Maintenance and Operations (M&O) contractors. 

  • Basic knowledge of hiring processes to include typical workflows, roles, candidate pipeline management, and employment offers.

  • Ability to work effectively and efficiently in a team and independently.

  •  Ability to readily adapt to changing requirements.

  • Ability to follow written and/or oral direction.

  • Proficiency in current technology and technical applications to include Microsoft 365 Suite applications, MS Visio, Adobe applications, various web browsers (Google Chrome, Microsoft Edge) including ability to use styles and templates features in Word and PowerPoint for efficiency and consistent formatting and using calculations and pivot tables an Excel.

  • Electronic Communication Network applications such as SharePoint, Zoom, Teams

 Desired Qualifications:  

  • Prior experience in project management or coordination for a government contract. 

  • PMI Certified associate in project management (CAPM). 

  • Prior experience utilizing an Applicant Tracking System for Talent Management
