Org. Setting and ReportingThe United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. UNEP's Early Warning and Assessment Division is responsible for analyzing the state of the global environment, providing early warning information and assessing global and regional environmental trends to catalyze and promote international cooperation and action on the environment. This post is within the Secretariat of the Scientific and Technical Advisory Panel (STAP) of the Global Environment Facility (GEF) located at the Washington DC duty station. Under the supervision of the STAP Secretary, the incumbent will: ResponsibilitiesProgramme Support -Assist in the planning and implementation of activities/processes for the STAP work program focused on supporting GEF policies, strategies, programs, and projects. -Research, compile, analyze, summarize, and present information/data on STAP work program topics addressing the different GEF focal areas and cross-cutting issues. -Collaborate with programme/project managers, including assisting in coordinating programme/project planning and preparation; monitoring the status of programme/project; taking necessary action to ensure programme/project completion; and supporting programme/project performance reporting. -Liaise with relevant parties to interpret the activities/services in the project budget and various planning instruments such as internal work plans. -Support drafting programme/project summaries; coordinate review and clearance process. -Assist with reporting requirements, guidelines, rules, procedures and ensures completeness/accuracy of data. -Prepare, maintain and update files (electronic and paper) and internal databases; design and generates periodic and ad hoc reports, statistical tables, graphic content, and other background materials/notes to facilitate inspection and other reviews. Administrative Support -Support the coordination, monitoring, and expedition of programme/project implementation activities, involving liaising with relevant org. units to initiate requests, prepare standard terms of reference against programme/project objectives, obtain necessary clearances, process and follow-up on administrative actions, and resolve issues related to program/project implementation, e.g. recruitment and appointment of personnel, travel arrangements, organization of and participation in training, authorization of payments, disbursement of funds, procurement of equipment and services. -Draft correspondence related to programme/project administration, including work plans and budgets, revisions, and other related issues, and prepares unit contributions for various periodic reports. -Assist with the organization of STAP in-person and virtual events and meetings, in liaison with relevant STAP Program Officers. -Assist in performing budgetary and finance functions, as needed, including preparing and analyzing programme/project budgets, initiating financial authorizations for expenditures, preparing reports, undertaking periodic reviews and revisions, and ensuring necessary verification, approvals, and entry into the budget system. Communication Support -Coordinate with science editors, translation services to finalize STAP reports. -Act as liaison between the designer and STAP Programme Officers for the design and layout of STAP publications. Ensure all requirements are submitted to the designer, review each iteration, and seek Programme Officer's clearance. -Assist with updating the STAP website, liaising with relevant actors (e.g. STAP Panel Members and Program Officers) and technicians as needed. -Support the preparation of STAP presentation materials using appropriate technology/software. -Support the quality control of STAP documents; proofread documents to ensure adherence to format and style. Data-strategy • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assist with visualizations and updating information material such as web pages or brochures. Other duties • Perform other related duties as assigned. Job - Specific QualificationSupplemental training in programme or project administration, business management, environmental or sustainability-related topics, or related area is desirable. Work ExperienceA minimum of 7 (seven) years of experience in programme or project administration, business management, or administration services is required. The minimum years of relevant experience is reduced to 5 (five) years for candidates who possess a first-level university degree or higher. Experience with various operating systems, e.g. Windows and common Microsoft applications such as spreadsheets, word processors, database programs and web browsers is required. Experience in the United Nations System or other comparable international organization is desirable. One (1) year or more of experience in data analytics or related area is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is desirable. NOTE: \"Fluency equals a rating of \"fluent\" in all four areas (read, write, speak, understand), and \" Knowledge of\" equals a rating of \" confident\" in two of the four areas.
