This recruitment will be used to fill one full-time Program Representative 1 position for the Division of Educational Ventures at Oregon State University (OSU).

The Division of Educational Ventures (DEV) is a growing, innovative, and collaborative organization with a commitment to providing high-quality online education. The division extends Oregon State University's exceptional learning experiences including microcredentials, certificates, and degrees available to students throughout Oregon and around the world.
The division includes Ecampus, offering over 100 online and hybrid degree programs; the Ecampus Research Unit (ECRU), conducting and supporting original research in online teaching and learning; the Corporate and Workforce Education Unit (CWE), creating pathways for learners employed by partners in business and government; the Center for the Outdoor Recreation Economy (CORE), providing workforce development for the outdoor recreation industry; the Open Educational Resources Unit (OER), aiding faculty in adopting open course materials; and the Alternative Credential Unit (ACU), developing short-form educational opportunities
The Enrollment Services Recruitment Specialist (ESRS) will provide a personal connection to Oregon State for prospective students who are interested in learning online and plays a pivotal role in recruitment for online programs. This position nurtures leads from inquiry through application and participates in a variety of inbound and outbound recruitment activities (e.g. high touch outreach campaigns, recruitment events, webinars). The ESRS will help prospective students navigate institutional resources and provide realistic expectations for the OSU enrollment process and online learning. This position regularly responds to complex questions related to academic programs and university policies and procedures and connects with university partners on behalf of adult learners.
This position will work in partnership with the Associate Director of Outreach and Recruitment to strategize and facilitate management of outbound recruitment communications with prospective students, including leading high-touch campaigns via phone, email and text and traveling to and attending recruitment related events. Additionally, this position will collaborate with the Associate Director of Outreach and Recruitment and the student outreach team, consisting of 2-5 student employees, to coordinate outreach efforts.
This position collaborates with colleagues across the unit to develop, inform and update prospective student communications (e.g. website, email, advertising). The ESRS works closely with prospective students and possesses unique knowledge about this audience. Because of this expertise, the ESRS will be asked to serve on project teams, review materials and help with onboarding of new programs and corporate collaborators, ensuring that the prospective student voice and perspective is represented.

Key Responsibilities
70% RECRUITMENT AND LEAD NURTURING
  • Respond to inquiries from prospective students through a variety of communication channels (e.g. phone, email, social media).
  • Proactively engage and collaborate with cross-functional teams on strategies for outbound student engagement and recruitment.
  • Advise prospective students and applicants on policies and processes involved with admissions, enrollment, and registration. Provide initial context, preliminary information and resources around transferring credits. Assist in comparing program options such as online learning, majors, minors, and course scheduling.
  • Utilize Ecampus' customer relationship management system (Salesforce) to track engagement with prospective students, and to create referrals to Ecampus' unofficial transcript evaluation service.
  • Access and interpret undergraduate admissions customer relationship management system (Slate) to inform communications and conversations with applicants.
  • Proactively reach out to applicants with incomplete application files to ensure that they have the information and support needed to move forward.
  • Represent Ecampus at recruitment events, both on and off campus and virtually, and in presentations to campus partners.
  • Work closely with Ecampus' corporate education unit to onboard new corporate collaborators and serve as a resource for prospective corporate-affiliated students.
  • Collaborates with Associate Director of Outreach and Recruitment to analyze communication channel data and set strategy and goals around prospective student satisfaction.
  • Meets and communicates with the Associate Director of Outreach and Recruitment to assess current projects and priorities related to outbound recruitment yield strategies.

15% COLLABORATION AND ADVOCACY
  • Communicate with campus partners on behalf of prospective students to find answers to questions and help navigate campus resources.
  • Actively engage in group discussions, sharing insights and ideas to enhance the prospective student experience.
  • Advocate to remove barriers for online learners by suggesting improvements to existing processes and procedures.
  • Collaborate with Ecampus marketing and web/IT colleagues to create and update Ecampus website and other marketing and recruitment materials.
  • Communicate regularly with the Admissions and Ecampus Student Success Team to ensure student-facing teams have the most up-to-date and accurate information in order to effectively serve students.
  • Review and provide feedback on proposals for new online programs in order to ensure a smooth prospective student experience.
  • Maintain Enrollment Services team resources for training and reference materials.

10% PROJECTMANAGEMENT
  • Develop and participate in projects that contribute to improving the prospective student experience.
  • Utilize Ecampus marketing and enrollment services project manager software (Basecamp) to create or track project deliverables.
  • Plan and assign work for between 2 and 5 remote student workers.

5% PROFESSIONAL DEVELOPMENT
  • Engage in professional development activities to maintain knowledge of best practices in higher education enrollment, customer service and marketing.
What We Require

Two years of technical or professional-level experience advising and/or instructing the public concerning specific programs or processes, monitoring programs, or performing participant reviews.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
