Job Description: 

This position will support the HCBS Program Department by performing the following duties which are subject but are not limit to: 

  • Being the first point of contact for all incoming/outgoing calls and visits related to clients and staff that come into the office. 

  • Direct calls to appropriate team members. 

  • Monitor EVV platforms and staff schedules. 

  • Create schedule deviations as needed.  

  • Assist in maintaining client and staff files to the standards required by the department of DIDD, State of TN, and MCO contracts. 

  • Support the administrative team in day-to-day office functions and needs. 

  • Ensure client files have all the required documents per DIDD Requirements 

  • Through careful review, verify all documents have been properly executed and uploaded to online platform (TS/ Monthly member docs) 

  • Assist in development and implementation of annual and ongoing training for frontline staff. 

  • Track certificates of completion and upload into caregiver personnel record 

  • Perform general office duties including but not limited to word processing, photocopies, files, shreds, sort/distributes mail, provides reception and telephone services, and cleaning.  

  • Maintain excellent communication with department heads and HCBS Team members on findings and is consistent and timely in resolutions. 

  • Assists in audits of client and caregiver files as requested. 

  • Maintains caregiver and client statistics, reports as requested. 

  • Assists as back up in the data entering of staff and client information into software. 

  • Create client/staff enrollment Packets.  

  • Perform other job-related duties.  

Qualifications 

The ideal candidate will have 1 to 3 years’ experience in administrative assistance or a related field. 

  • Associates Degree in Business or Administration

  • Strong computer skills, including but not limited to MS Office, MS Excel, and scheduling programs. 

  • Strong organizational skills and attention to detail required. 

  • Ability to work in a demanding environment. 

  • Excellent communication skills both verbal and written. 

  • Ability to resolve issues in a timely manner. 

  • Compassionate, Caring, Initiative-taker, Team Player
