Job Description Summary / TWC Summary:Under general supervision manages a variety of administrative and clerical functions related to the business operations, functions, and coordinates activities relative to the program or division. Performs and completes special projects of a highly skilled nature.
DISTINGUISHING CHARACTERISTICS:Has banking experience or knowledge of college business administrator functions.
- Manages and organizes office operations and procedures such as tracking budget expenses, collection of payroll information, personnel information management, filing systems, requisition of supplies, and other administrative services.
- Compiles program assessment and evaluation data at the departmental level and distributes information and materials to various constituencies including faculty, administers, staff, students and other areas as directed.
- Develops resources and techniques to enhance timely and efficient workflow and office productivity.
- Uses department and University policies, practices and procedures to handle a variety of questions and problems. Gathers data and verifies accuracy of information on standard University forms.
- Serves as administrative liaison for department and resolves problems with internal and external contacts.
- Collaborates with supervisor to update program policies and procedures. Establishes uniform correspondence procedures for the program or department.
- Maintains, monitors and updates records of budgetary expenditures.
- Performs liaison activities with faculty, HR and business offices.
- Compiles and prepares various reports, correspondence and requisitions to facilitate program operations.
- Assists students and faculty in daily program needs and expectations.
- Responds to students, faculty, staff and other internal/ external constituencies.
- Coordinates scholarship information with department scholarship contacts.
- Assist with outreach and recruitment.
- Maintains databases.
- Develops and distributes program and departmental materials, including brochures, information flyers, announcements, application packets, class schedules and workload reports as directed.
- Creates and maintains departmental files, records and reports. Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of files and records.
- Coordinates calendar of appointments, meetings, conferences, special events and travel arrangements on behalf of the Executive in Residence, Executive Director, students or faculty. Prepares program meeting agendas and materials, as well as takes and transcribes minutes of meetings for the program.
- Establishes procedures for maintaining records of bid process and equipment inventory. Selects and recommends purchases of appropriate supplies and office equipment.
- Conducts orientation of new employees to provide overview of department operating procedures and processes.
- Performs other job-related duties as assigned.

Hiring Range:Commensurate with experience.
Education:Some college/associate degree.
Bachelor’s degree AND one (1) to three (3) years of experience preferred.
Valid Texas Driver’s License preferred.
