This position is included in a bargaining unit of Housing Works’ New York City employees represented by a labor union known as the Retail Wholesale and Department Store Union (“RWDSU”). Accordingly, the RWDSU has the exclusive right to bargain over the terms and conditions of employment related to this position and this position may become covered by the terms of a collective bargaining agreement (a “CBA”) between Housing Works and the RWDSU

Responsibilities:

The Program Assistant is responsible for the successful day-to-day operations of the Youth and Prevention Services which support to the LGBTQ community based in East New York, Brooklyn. Through a robust offering of support groups, clubhouse activities, workshops, Sex Health education and connection to care navigation, case management, testing, and linkage to PrEP/PEP services the Program Assistant will interact with our client population which primarily MSM and Transgender communities of color. This is an exciting opportunity to learn the inner workings of a large-scale program while coordinating access to services for one of Housing Work’s key End the Epidemic initiatives.

  • Prepare, distribute, and collect small group assignments and documents including meeting notes, recording and tracking results including outreach, social media, and interdepartmental quality and integration initiatives
  • Assist in the preparation, posting, and distributing of key training material, policy and procedures, contact lists and key contract documents/assessments as directed by Program leaders
  • Provide administrative support for program resources including ordering, tracking and maintaining sufficient inventory and tracking systems for office supplies, promotional materials, client MetroCards, program food, program incentives, IT equipment on loan and additional credit card purchases
  • Interface with key infrastructure staff in Marketing, Finance, Purchasing, Data Systems and IT to ensure proper tracing and management of program resources in accordance with policy, compliance and contract/grantor requirements
  • Coordinating venue bookings and spaces for client groups, larger client offsite event, staff meetings, trainings and retreats
  • Coordinating training opportunities working closely with Managing Director to identify needs and support logistics
  • Provide additional event production support as directed by leaders
  • Support the recruitment and onboarding of new staff including orientation support on basic systems and procedures used often

Other functions that may be required with this position include:

  • Participate in reoccurring interagency meetings, as well as external community meetings to improve integrated care and maintain relationships with community partners
  • Participate in department activities such as new staff onboarding, YPS Pride Committee, CQI efforts, etc
  • Participate in Housing Works advocacy events (minimum 4 per year July-June)
  • Perform other duties that support the success of the Youth and Prevention program as assigned

Qualifications:

  • Bachelor’s Degree in Health Administration, Human Services, Case Management, Public Health or a related field with demonstrated experience in administrative roles
  • Experience working with MSM/Transgender communities of color
  • Strong socio-cultural identification with the priority populations of this service category
  • Demonstrated understanding of PrEP/PEP and HIV treatment in communities with barriers to accessing care
  • Experience in social media and community management is a plus
  • Ability to establish and maintain effective working relationships
  • Knowledge of issues pertaining to homelessness, substance use, harm reduction, mental illness, transgender healthcare, and LGBT youth
  • Ability to work M-F 10-6pm and flexibility with occasional weekend and evening hours
  • MSM and trans women of color are encouraged to apply

The following additional competencies are viewed as important to success in this position:

  • Experience in utilizing Microsoft Office tools effectively including Excel.
  • Experience with an EMR or accounts payable systems is a plus
  • Strong organizational skills and verbal/written communications skills
  • Exceptional attention to detail and accuracy, especially working with data
