Position Summary:

The Program & Events Coordinator will be responsible for supporting a wide variety of educational programs, both in-person and online, on behalf of the Credit Union Association of New Mexico (Association).The position involves all aspects of event planning, event budget development and management, event registration management, onsite coordination during events, and overall creating an exceptional experience for Association members, attendees, and speakers. This position also requires the interest and ability to build and foster relationships that support the Association's overarching goals and member engagement.

Major Duties and Responsibilities:
  • Serves as the primary point of contact for Association members and event attendees seeking assistance with registration, payment, course access, and other needs via email, telephone, or in person.
  • Setup and maintain registration.
  • Setup with guidance, manage, and report on each event budget.
  • Ensure webinar/virtual programs are set up properly and that all registered attendees receive an access link. When needed, facilitate questions from attendees to the presenter.
  • Serves as the primary point of contact for speakers, venues, and catering, as may be required for each program or event.
  • Handles onsite logistics, such as room setup, decorations, registration, handouts/materials, relevant announcements/introductions, venue communications, and catering, as may be required.
  • Works a regular Monday through Friday schedule, with occasional evening events and some travel for events.
  • Maintains annual Program and event calendar for internal staff, on website, and in other mediums as may be required.
  • Participate with Association staff to create event themes when needed.
  • Communicate with Association staff regarding event flow, procedures, and onsite responsibilities, as needed.
  • Establishes and attends event planning meetings with applicable staff on a regular basis.
  • Develops, sends, and reports on post-event surveys for future improvement and program topics.
  • Assist with Association special projects/events, i.e. Huddles (affinity groups), Advocacy activities, etc.
  • Perform all other related duties and/or special projects as assigned.

Knowledge and Skills:

Experience: Experience with event planning and coordinating educational programs.

Education: B.A. in Hospitality, Business or a related field preferred; High School Diploma or equivalent plus one years' relevant work experience, demonstrating the skills and abilities to competently perform tasks to essential functions of the position.

Interpersonal Skills: The ability to stay well-organized with excellent multi-taking abilities; ability to prioritize and effectively complete many multi-faceted projects with deadlines while staying within budgetary constraints; strong communication skills (verbal, written, and telephone), including public speaking; ability to build trust and obtain cooperation (internally and externally).

Other Skills: Knowledge of current events and/or association management software (AMS); knowledge of member mailing blast software; ability to assist in the creation of promotional materials for events; ability to update WordPress with event information; an understanding of or willingness to learn financial institution operations (preferably credit unions).
