Job Description
The Production Operations Specialist performs a variety of duties that support the workload in Inbound Mail Services to ensure that all mail is sorted, opened, prepped, scanned, and processed on a day-to-day basis. This position emphasizes accuracy and timely performance of job duties; as well as a strong emphasis on attention to detail. *Must have 10-key experience to be considered for this role.
*This position works onsite in our Raleigh office.
Essential Duties and Responsibilities
- Operates & performs daily maintenance on Agissar Mail opening equipment, IBML high-speed document scanner and Omation letter opener.
- Performs Executive Sort of all USPS mail received daily. Ability to appropriately direct internal sorting of all mail according to AKC PO Boxes and directory of AKC staff.
- Provides an accurate count of all certified mail, DHL, FED EX, or UPS mail received daily and distributes it accordingly to AKC staff/departments.
- Utilizes mail tracking software to ensure that all certified mail is properly recorded and/or delivered.
- Demonstrates customer service skills by interacting with AKC personnel delivering work daily to the vestibule window for scanning; routing and batch number emails.
- Collates work to be scanned by extracting contents and organizing them by batch types designating for scanning.
- Access to confidential information as documents received for processing contain fee instruments.
- Must obtain knowledge of all AKC Registration form names and identify them when prepping to ensure accurate prepping order of documents.
- Performs bi-weekly purge of scanned documents based on system-generated reports.
- Scans all prepared work on IBML scanner. Assemble and label batches for filing.
- Fee instruments are separated after scanning; labeled and batched according to batch types for ease of processing in Cashiers.
- Reviews daily the Microfilm & Original Docrequest email inbox for incoming items.
- Completes research on Old Dog Microfilm Requests & Club Archival requests.
- Operates microfilm retrieval equipment for internal microfilm requests.
- Performs blind double key of checks in Batch Approval and processes DOUGH checks.
- Encodes and endorses all checks and money orders on the encoder and locates/resolves errors.
- Prepares daily bank deposits for the organization and all reports associated with bank deposits. Locates deposit errors and acts on them accordingly.
- Performs corrections to scanned images in Batch Fix and researches additional documents in the Registration Console.
- Creates letters to external customers for returning documents or invalid fee instruments.
- Researches and corrects scanning errors through Reg Console.
- Other duties as assigned.
Required Skills, Specialized Knowledge and Competency Requirements
- 10-key experience is required for this role.
- This role requires significant repetitive motion, standing or moving, and must be able to lift up to 25lbs.
- Strong customer service skills, teamwork and organization skills. Must be detail oriented.
- Ability to multi-task and change job assignments on a weekly basis.
- Experience in mailroom operations and equipment is preferred but not required.
- General computer experience using email, internet, and Microsoft Office programs.
