Job Summary

The Procurement agent I is responsible for managing, planning, and procurement activities of direct materials for Glanbia facilities. Additionally, the role is responsible for site support including training other departments on procurement practices and policies, and ensuring site requirements are sourced according to company procedure while managing day-to-day supplier relationships and site inventory replenishment. Will support savings initiatives and additional supply-related improvement projects. Will manage the ordering process, in conjunction with plant operations, in order to ensure facility production schedules remain uninterrupted.

Essential Functions
  • For assigned areas of spend, will work cross-functionally to assist in maintaining inventory levels as agreed between Procurement, Production, and PSM where applicable to minimize costs, ensure minimal stock out occurrences, and maximize customer demand.
  • Utilize weekly site inventory counts whilst reconciling with system recommended purchase volumes and perform adjustments based on knowledge of materials management best practices. Including factors such as: economic order quantities, supplier/supply chain factors, ongoing site initiatives, and ensuring goods receipting.
  • Manage orders to ensure fulfillment meets the needs of the production schedule including: reviewing system data to ensure orders placed meet identified change in demand requirements, updating purchase order data as needed, working with the supply base to understand the urgency of orders, working with logistics to ensure on-time deliveries, working with internal stakeholders on the agreed processes to expedite approval of new and substitute products on an urgent basis, utilize the order confirmation process, and run regular reports to prevent stock outages.
  • Perform day-to-day sourcing activities of low-value one-off purchases (spot buys) to support the category team as requested. Ensure new site requirements are either sourced through a preferred supplier or appropriately routed to the category team for sourcing.
  • Work closely with the category management team to understand category strategy such that orders are placed in adherence with the defined strategy.
  • Partner with internal stakeholders to report and manage product shortages and material availability. As assigned, work with applicable internal and external stakeholders to perform root-cause investigations and implement corrective actions on any near miss or stock-out scenarios.
  • Monitor invoice discrepancies for designated areas of responsibility to ensure issues are resolved to enable on-time payment to suppliers. Additionally, act as support for the resolution of invoice discrepancies on indirect orders.
  • Work with internal stakeholders to trial and observe new products and specification changes, including support for commercialization, to aid in improving processes and obtain cost-saving or avoidance with improvements.
  • Manage records in accordance with good manufacturing processes to include maintaining delivery documentation and product documentation thus enabling the facility to be audit-ready and compliant.
  • Gain a working knowledge of systems used in job function, provide training and support to new users and support new material master data setup.
  • Support the non-conformance process, including resolution of category and site supply issues, defective and unacceptable goods and services, and ensure the SRC process is utilized where applicable. Ensure that return of material authorizations are completed and credit is issued back to Glanbia.
  • Cover and be available as backup support for other Procurement Agents within the organization.
  • Utilize the GPS process driving zero loses and uphold the Glanbia culture.
  • Perform all activities while exemplifying the Glanbia culture.
  • Each employee shall comply with occupational safety and health standards and all rules, regulations, and orders issued pursuant to the Occupational Safety and Health Act applicable to his/her actions and conduct.
  • Complies with all applicable food safety regulations and mandates (Safe Quality Foods, Food and Drug Admin, Pasteurized Milk Ordinance)

Qualifications
  • High school diploma or general education degree (GED) and/or a minimum of three years related experience and/or training; or equivalent Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Working knowledge of and experience with food or fortification manufacturing environment desired.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
  • Flexibility and ability to multi-task in a fast-paced environment is a must.
  • Ability to work with minimal supervision while always remaining productive.
  • Understanding of numeracy with emphasis on concepts such as probabilities, statistical inference, geometry, and trigonometry fundamentals. Ability to apply fractions, percentages, ratios, and proportions to practical situations.
  • Provide leadership to others through example and sharing of knowledge/skill
  • Ability to prioritize tasks and handle multiple projects simultaneously.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Demonstrated use of intermediate computer operations.
  • Working knowledge of Microsoft Office Suite. (Excel, Outlook, Word, PowerPoint, Visio, Project, etc.)
  • Ability to comply with all safety policies, practices, and procedures while reporting all unsafe activities to the supervisor and/or Human Resources.
  • Participate in proactive team efforts to achieve departmental and company goals.

Travel Requirements
    • Minimal overnight travel (up to 10%) by land and/or air.
