Job Title:Pro Bono Associate

Department: Office of the General Counsel, Pro Bono

We have won groundbreaking cases before national courts, U.N. Committees, and regional human rights bodies. Additionally, the Center has led the development of historic, proactive legislation advancing robust protections for reproductive rights and has built the legal capacity of women's rights advocates in more than 65 countries and counting.


The Role: The Associate, Pro Bono Services (Office of the General Counsel) will support the work of the Pro Bono Department. The individual in this role will report directly to the Pro Bono Senior Manager and is primarily responsible for providing a high level of administrative and organizational support to the Pro Bono team (located across multiple time zones), including detailed calendar management, support for law firm communications/meetings, and development and maintenance of tracking and contact management systems.

The Pro Bono Associate will be based in New York City in a hybrid model of 3 days in-office, 2 days working from home. COVID-19 vaccination is required for all US-based employees of the Center.

Primary Responsibilities:

  • Provide administrative support to the Director of Pro Bono Services and other team members as assigned. Day-to-day tasks will include calendar support, meeting logistics and agendas, travel arrangements, and credit card statement processing
  • Provide general administrative support to the Pro Bono department, including but not limited to maintaining information management systems (e.g. Sharepoint, Monday.com), taking meeting minutes, monitoring action items and follow-up, and ensuring team is apprised of Center policy and process updates, e.g. travel policy, H.R., etc.
  • Develop and update manuals, guides, and best practices documents that outline how the Pro Bono unit operates.
  • Support the Pro Bono Coordinator in accurate end-of-month reporting, including via weekly data input and review in Salesforce and in the annual Pro Bono valuation process.
  • Create avenues for team communication and a positive team dynamic across three continents, including by managing teams channels and bi-monthly team meeting agendas; maintaining a team-wide calendar of events, activities, and meetings; soliciticting and disseminate key updates from team members; organizing team events and celebrations.
  • Support team external marketing efforts, including ordering branded materials, designing holiday cards, and facilitating thank you gifts to law firms.
  • Coordinate internal and external meetings at the Center and off-site; provide technical support for virtual meetings; design, distribute, collect and manage RSVPs; coordination of guest lists with building security and onsite host(s), prepare meeting materials, including PowerPoint presentations, and facilitate event follow-up logistics as appropriate.
  • Respond to internal and external team information requests, including by running Salesforce reports and generating law firm profiles.
  • Research external partners, primarily law firms and firm attorneys, to develop geographic mappings, identify targets for outreach, and support the creation and ongoing maintenance of background documents
  • Develop an understanding of the Center's programmatic work; attend departmental and inter-departmental meetings to become versed the Center's work across region.
  • Other tasks and special projects as assigned

Qualifications:

  • Bachelor's degree required;
  • Preference for 1-2 years of experience as an administrative or legal assistant in a not-for profit organization or law firm;
  • Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, SharePoint, and familiarity with Salesforce or another database system;
  • Flexibility and ability to adapt to shifting duties while maintaining focus and follow-through and the ability to work professionally in a fast-paced environment;
  • Excellent organizational and time-management skills, with attention to detail, accuracy and pacing;
  • Excellent oral and written communication skills, including research and proofreading skills
  • Ability to work both independently and as part of a team, with capacity to receive and accept constructive feedback, take initiative and be pro-active, and demonstrate solid problem-solving skills.

Compensation: This position's salary is $31.87 per hour, 35 hours a week, for an estimated annual salary of $58,000. This salary is reflective of a position based in New York City. This salary will be subject to a locality adjustment, if an authorization is granted to work outside of the location listed in this posting. Note that most of the salaries listed on our job postings reflect New York, NY salaries, where our National offices are headquartered.
