POSITION SUMMARY:

This position manages the operations of both the Mailroom and the Printing Department and oversees the personnel, workflow, and operation of equipment in both areas. Position oversees the printing of various County forms and documents within the established timeframes and with the highest level of confidentiality.

POSITION RESPONSIBILITIES:

Essential Functions

The duties and responsibilities of this position include, but are not necessarily limited to:

  • Oversees and assists with the printing and sealing of pressure-sealed forms including County Tax Bills, Jury Summons, Jury Recalls, Tax Claim Notices, Assessment Notices, Election Forms, and Dunning Notices. Adheres to the strict deadline requirements associated with each job. Some of these jobs require close interaction with staff from the Information Systems Dept. and various county offices.
  • Oversees the operation of equipment in both areas (copiers, high-end printers, presses, cutters, folders, staplers, drill, mail machine, pressure sealers, laminator, etc.). Maintains a working knowledge of the industry and the equipment and technology that becomes available, so that replacing equipment is an easy process when needed.
  • Manages department operations which includes data entry and job set-up on computer, reports, timesheets, work schedules, preparing and maintaining budget, and attending meetings/trainings.
  • Manages departmental personnel, which includes assisting employees on matters about a particular print job; directing the work of departmental staff, and hiring and supervising employees.
  • Trains employees on all aspects of the printing/mail function, including keeping staff up to date on new postal regulations and rates.
  • Interacts with county employees from various departments daily. Answers questions they may have regarding their mail or print job.
  • Communicates with USPS and UPS carriers either in person or by phone on matters about the mail and parcels.

MINIMUM EDUCATION AND EXPERIENCE:

  • High School Graduation or G.E.D.
  • Experience and knowledge of the Graphic Arts field through courses taken at a vocational/technical school- minimum of 2 years.
  • Previous experience managing a Printing/Mailroom department, preferred.
  • Any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES:

  • Working knowledge of the Graphic Arts industry.
  • Working knowledge of postal regulations/rates.
  • Ability to operate Printing/Mailroom equipment regularly.
  • Ability to maintain confidentiality when dealing with highly confidential payroll and tax information.
  • Ability to meet strict deadlines within short timeframes. The position may require a flexible schedule to meet those deadlines.
  • Ability to analyze data and prepare reports.
  • Ability to fix minor problems with printing and mailroom equipment.
  • Good interpersonal skills.
  • Good math skills.
  • Advanced computer literacy skills including various computer software programs for set-up of printing work.
  • Ability to handle stress.
  • Physical presence in the office is required.

PHYSICAL DEMANDS:

Work involves standing, walking, sitting, lifting, carrying, talking, hearing, using hands to handle, and feel objects, tools, or controls, and reaching with hands and arms. Vision abilities required by this job include close vision and the ability to adjust focus. The employee must occasionally lift and/or move up to 40 pounds at a distance of 15 feet or less, as well as occasionally lift paper cartons and parcels up to 75 lbs. Must be able to push a cart weighing up to 300 pounds, up to three times a day. Must be able to frequently monitor equipment while it operates daily.

WORKING ENVIRONMENT:

Requires working in loud and communal workspaces in a busy mailroom environment. May require working beyond 8 hours a day and flexible hours as needed to meet deadlines.
