Job description

The Surgical Services Unit Coordinator is a member of the non-nursing staff whose primary responsibilities are to assist with smooth coordination of patient flow, maintenance of computer systems, coordination of procedural scheduling, accurate and expedient data entry and reporting and maintenance of time and attendance system. Responsible for basic clerical duties, i.e., answering incoming calls, taking messages, etc., assuring that patient charges are entered, filing, etc. He she serves as the customer service liaison between the unit and other departments, patients, physicians and their office staffs, etc. Duties are performed in accordance with hospital policy procedure. Proficiency, accuracy and expediency are mandated as essential performance functions.

Area of Responsibilities
  • COMPETENCY: Demonstrates advanced knowledge and proficiency in the use of the computerized scheduling system. Demonstrates advanced knowledge and proficiency of the order-entry system. Demonstrates advanced knowledge and proficiency of the Time and Attendance system Demonstrates proficiency in organizing surgical schedule to attain the best possible utilization of the established block scheduling system. Demonstrates proficiency and efficiency in data entry on a per-procedure basis. Demonstrates proficiency of patient charge system. Demonstrates ability to utilize beeper system/alphamate. Assists with securing client information, test results, old records, etc. Demonstrates excellent organizational skills, ability to set priorities, handle several directives at one time. Demonstrates maturity, professionalism and appropriate interpersonal skills when dealing with physicians, co-workers, patients, members of other hospital departments, etc. Demonstrates ability to establish priorities, working efficiently and expediently without direct supervision. Demonstrates knowledge of and compliance with departmental policies/procedure, and TJC and other regulatory agencies. .
  • CUSTOMER SERVICE: Serves as the customer service liaison, encouraging and facilitating optimal relations between the operating room and physicians, physicians- office staffs, patients, other hospital departments, etc. Shares the responsibility for incoming and outgoing communications, answering promptly and accurately relaying messages. Shares the responsibility for answering call lights from operating rooms promptly and relaying information to appropriate person(s), often requiring coordination with other departments, physicians, etc.
  • EDUCATION: Participates in continuing education as mandated by hospital policy. Participates in continuing education classes offered by the unit, hospital, and/or professional organization.
  • EVALUATION: Work area is neat and promotes efficiency.
  • TEAM RESPONSIBILITIES: Shares the responsible for compiling bi-weekly, monthly and annual statistics accurately and expediently, reporting to appropriate person(s), departments, etc. Assists Division Director and/or other division managers with preparations for committee meetings, gathering and reporting of requested statistical data, etc. Shares the responsibility for maintaining office supplies, patient record supplies, etc. Responsible for maintaining an accurate and up-to-date surgical schedule, assuring daily schedule is forwarded to the appropriate departments in a timely manner. Transcribes minutes from meetings (committee, staff, in-services, etc.). Assists with departmental inventory. Serves as a positive role model and team member of the division. Serves as a preceptor, assisting with the orientation of new employees. Serves on performance improvement teams.

Compliance Statement
